Responsibilities:
- Provide administrative support to the executive team and perform general office duties
- Manage phone systems, including answering calls, taking messages, and directing calls to appropriate individuals
- Assist with office management tasks such as ordering supplies, maintaining office equipment, and coordinating maintenance requests
- Perform data entry and maintain accurate records and files
- Act as a personal assistant to the executive team, managing calendars, scheduling appointments, and making travel arrangements
- Assist with basic bookkeeping tasks using QuickBooks software
- Coordinate meetings and prepare meeting materials
- Provide excellent customer service to clients and visitors
Skills:
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook Calendar
- Excellent written and verbal communication skills
- Attention to detail and accuracy in data entry and record keeping
- Previous experience in an administrative or personal assistant role preferred
- Familiarity with QuickBooks or other accounting software is a plus
