Reports to: Donor Engagement Manager
Major Functions: Responsible for high-touch donor engagement as well as database management, oversight and execution of individual donor recognition, and gift processing management.
Location: Hybrid, Office at East Campus
Salary Range: $45,000-$55,000
Data Management and Reporting
Responsible for the administration and management of the Raiser’s Edge donor database, including record maintenance,
update patches, address and demographic corrections, and de-dupe. Undertake ongoing training and research of system
functions and modules, system updates, and new system features or requirements to optimize the use of Raiser’s Edge
throughout the organization. Coordinate External Relations Team Raiser’s Edge training as needed.
Generate donor queries for appeals, events, reports, acknowledgements, mailing lists, and to identify new prospects in
existing or new donor initiatives as requested.
Track donor activity, informational notes and updates, progress, and action items in database of constituent profiles and
coordinate follow-up activities to keep donors engaged as directed.
Monitor weekly, monthly, quarterly, and annual activity related to revenue goals and fundraising programs.
Track and report relationship management activity using Raiser’s Edge including identification, history/relationships,
cultivation and solicitation activity, and stewardship of prospective and current donors.
Donor Recognition and Acknowledgement
Lead counting, coding, and data entry of donor gifts and processing of donor acknowledgement letters, annual statements,
and donor requests etc. in a timely and accurate manner.
Lead monthly reconciliation activities for all gifts and pledges with CFO and Finance Department.
Manage and coordinate the donor Thank You Letter process including updating letter templates, entering and verifying that
donor and gift information is correct, printing, addressing, securing signatures, posting and mailing or e-mailing
correspondence to ensure all donors receive an accurate Thank You Letter or Email within a week of making a gift.
Execute the preparation, signature, and mailing of “Kids Cards” as requested to recognize important donor and partner
events and milestones including selecting an appropriate card design, updating the card template, verifying all information is
accurate, printing, securing signatures, addressing and mailing.
Fund Development
Assist in the execution of the annual fund development plan activities and mailings as assigned.
Strengthen commitment of current donors and prospects through responsive communication and replies to inquiries, emails,
phone calls or onsite visits.
Work collaboratively with External Relations Team to ensure donor visits, solicitations, and fulfillment of gifts are timely and
personal to their gift type and level of giving.
Schedule and prepare materials for donor meetings, including giving history, donor interests, and philanthropic habits.
Evaluate current and trending strategies in stewardship practices and donor acknowledgement and tailor approaches to
individual preferences, including coding, data system notes, and reports.
General Duties
Participate in events and outreach efforts and as a representative of the organization at conferences, meetings, speaking
engagements, external events, and Providence House special events as assigned.
Assist in managing and routing incoming telephone calls and onsite visitors and donors at the doors.
Undertake other projects as requested by the Donor Engagement Manager, External Relations Directors, or President &
CEO.

Required Qualifications and Preferred Skills:
Minimum of Bachelor’s degree in a related field or equivalent work experience in fundraising or inside sales.
One or more years of experience in non-profit agencies or inside sales experience required.
Experience with Raiser’s Edge required.
Proficient in Microsoft Outlook, Word, and Excel.
Must be a motivated, self-starter and able to function productively and effectively with autonomy.
Exceptional verbal and written communication and interpersonal skills.

Must be able to accommodate occasional weekend and evening responsibilities.
Comfortable working in a team-oriented, collaborative environment.

Work Environment:
This job operates in a professional office environment. In order to successfully perform the essential functions of the job, this role routinely uses standard office equipment not limited to but including: computers, phones, fax machine, printer/copier/scanner, and surveillance cameras. Team members follow a hybrid work structure where they are able to work remotely no more than three days per week or from the office, based on supervisor approval and demands of specific tasks.
