POSITION DESCRIPTION
TITLE: Deputy Court Clerk
SALARY RANGE: D.O.E. STATUS: Full-Time

POSITION DESCRIPTION: Under the direction of the Chief Judge, Associate Judge, Pro Tem Judge, Court Administrator or Court Clerk, the Deputy Court Clerk performs a wide variety of tasks, including entering cases into the Case Management System, maintaining the electronic and paper Traffic Court files, greeting the public, answering questions about court processes, taking payments, and general clerical work.
MINIMUM REQUIREMENTS:
- Communicate courteously and clearly
- English proficiency
- Willingness to learn and take on challenging tasks
- Able to perform repetitive tasks accurately
- Detail-oriented with strong organizational skills
- Must be able to work cooperatively and foster teamwork by helping co-workers in a sometimes stressful environment
- HS Diploma
- At least one year of administrative experience, preferably in the court setting
- Proficient in MS Word, Excel, Access, and Outlook
- Must be able to pass a drug screening
- Must be able to maintain strict confidentiality
DESIRABLE QUALIFICATIONS:
- Spanish speaker
- Experience working with Native Americans and Tribal Governments or Tribal Court
- Knowledge of legal terminology, court procedures, and rules of court
- Database entry experience
ESSENTIAL FUNCTIONS OF THE POSITION:
- Support judges, the court administrator, the court clerk, and other court staff in fulfilling their roles and duties.
- Fill in for Court Clerk as needed.
- Greet visitors, in person or on the telephone; answer questions or direct inquiries to appropriate staff.
- Photocopy, fax, scan, answer telephones, take messages, handle mail and email, and perform other general office functions as needed.
- Accept and track payments for fines, traffic citations, and fees; issue receipts. Track compliance with payment plans; refer delinquent payments to collections; prepare deposits.
- Ensure the courtroom is ready for hearings.
- Create and maintain case files; add filings and other documents in accordance with specific procedures.
- Scan and file all documents and follow the record retention policy for disposal of case files/documents.
- Provide input to improve procedures and customer service.
- Enter and retrieve data from the case management system (CMS).
- Prepare documents to process court cases, such as routine orders, summonses, and subpoenas.
- Process orders for supplies and other items for the court.
- Perform other duties requested by judges, probation officer, wellness court coordinator, and other court staff.
CONTINUE PERSONAL AND PROFESSIONAL DEVELOPMENT:
- Comply with office and personnel procedures.
- Participate in applicable job-related trainings.
- Take direction from Court Clerk.
PHYSICAL, MENTAL, AND ENVIRONMENTAL DEMANDS:
- Manual dexterity to operate computers and other necessary office equipment.
- Able to work and perform accurately in a fast-paced, multi-tasking environment.
- Able to interact courteously with difficult customers.
- Able to bend, reach, kneel, twist, and grip items in the assigned work area.
WORK ENVIRONMENT:
Work is generally performed within an office environment with standard office equipment available. Work is generally sedentary in nature, but may require standing and walking for up to 30% of the time. The working environment is generally favorable. The noise level in the work environment is usually moderate. Lighting and temperature are adequate and there are no hazardous or unpleasant conditions caused by noise, dust, etc. Work may include high stressful situations at times.
