Clinic Manager RN – Job Description
The Clinic Manager position at Pulse Braincare fulfils all aspects of day-to-day management surrounding clinic operations and staff direction.
The Clinic Manager assists in recruiting, hiring, and training support staff including Patient Care Coordinators, EEG and TMS Technicians, Front Office Coordinators, and all other positions within the clinic.
The Clinic Manager will drive daily operating procedures and staffing schedules, review and maintain patient schedules, and coordinate treatment benchmarks with our providers.
The Clinic Manager will interact with patients and their families on a daily basis, working closely with our providers to ensure our treatment protocols are accomplished.
The Clinic Manager will collaborate with management to develop ongoing training and quality assurance plans related to patient care and professional development for the Pulse Braincare team.
Outreach and marketing will also be a component of the Clinic Managers role in regards to practice development and growth.
The Pulse Braincare Management team will commit a high level of professional mentorship and trust to allow the Clinic Manager to make decisions to drive culture and our mission to improve the lives of our patients and their families. ________________________________________________________________________________________________________________
Duties of the Clinic Office Manager include, but are not limited to:
· Assist in Scheduling New Patients.
o Coordinate with our specialized patient intake center to maximize initial evaluations and treatment appointments.
· Assist with patient follow up and overall experience feedback during and after treatment along with our provider.
· Check in patients at front desk.
· Follow patient care process in partnership with Techs and providers.
· Monitor and respond to patient communication via phone calls, patient portals, and other communication channels when needed in conjunction with our providers and intake team.
· Work with providers to pull weekly patient reports (EEG) – optimize for review with providers.
· Maintain staff:
o Scheduling staff, tech rooms, EEG, Doctor’s calendar, operating hours, etc.
· Create patient superbills and invoices with EMR platform.
· Collect payment and pull billing reports and collection when needed.
· Keep all electronic files updated and organized in conjunction with providers and intake team.
· Participate in all patient evaluation meetings with providers to drive patient care protocols for treatment and patient evaluations / progress.
· Maintain all physical assets and daily clinic supplies, ordering and keeping the day-to-day supplies running smoothly.
· Check and organize incoming mail and communication related to patient care and clinic management along with patient intake team.
· Help assist in the sterilize and Clean Clinic Daily (after each patient appointment).
· Maintain staff credentials and professional development.
· Understand and acknowledge all HIPA requirements and regulations surrounding patient privacy.

· Must show attention to detail: patient privacy, Doctors calendar, tech communication.
· Willingness to learn and apply improvements as instructed
· Customer service, management, and admin experience recommended
· Assertive and forward thinker – prepared for multiple scenarios/outcomes
· Proficient in using Google, Gmail, Drive, Microsoft Word/Excel, General Computer knowledge
Salary : $70,000 - $100,000
