We are looking for a hard-working professional to support all administrative functions.


What We Need:

Candidates should have the ability to multitask and work efficiently with a high degree of attention to detail. The ideal candidate should possess excellent problem solving and communication skills as well as an eagerness and initiative to incorporate new and effective ways to achieve better results. This position will have a high level of autonomy and will report to the owners of the company.


What You’ll Do:


Customer support

  • Field incoming calls and emails, ensuring an answer to customer questions or delivery to the right department
  • Maintain accountability for self and others for executing timely customer responses and follow ups
  • Utilize Trello to organize and prioritize administrative work and customer responses
  • Input new customer data into CRM (Jobber)

A/R support

  • Collections on outstanding invoices
  • Follow up on pending quotes as required

Systems support

  • Help maintain data integrity and system cleanliness (data entry/clean-up as needed)
  • Hold others accountable for maintaining accurate and timely data
  • Organize incoming requests, work with scheduling coordinator to ensure completion of responses, assessments and service visits

Job Type: Seeking Full-time. 

Pay: This is an entry/mid-level position. Compensation is commensurate with experience.

Schedule: 

  • Monday through Friday, 40 hour work week minimum for full-time. Full time seasonal contract position may be considered.
  • Office hours are daily 9am-5pm

Requirements

  What You’ll Need (required)

  • Proven experience as an office assistant or other relevant administrative/customer service role
  • Excellent organizational and time management skills
  • Analytical abilities and aptitude in problem-solving
  • Excellent written, email, and verbal communication skills
  • Ability to take direction, learn quickly and adapt
  • High level of accountability for completing expected work, responding to customers, and escalating issues as appropriate
  • Initiative to document and continuously improve processes will be rewarded
  • MS Office and Google Drive

Technical skills we’d love to see (but isn’t required)

  • Jobber - prior experience not required. Ability to learn Jobber quickly will be required.
  • Trello 
  • Mail merges and mass email programs - bonus experience
