Job Summary
- Preparation of the semester / session class schedules and final exam schedule. Entering of course & instructor information into Unitime. Manage course modification process and update schedule accordingly. Comply, monitor and enforce academic regulations pertaining to the Master Course File and Registration requirements for academic course scheduling. Management & upkeep of all scheduling & instructor and classroom information in the UniTime Scheduling Software. Monitor & provide guidance during development of the master schedule of classes to assure that it meets academic requirements as prescribed in the university course master catalog and accurately reflects delivery of the course content. Maintain security of all student records in accordance with FERPA.
- Assigns appropriate classrooms for course and faculty requirements. Coordinates all class changes and and relocations with academic departments and Registrars' office. Interpret scheduling data to make recommendations in regards to classroom inventory. Produce ad-hoc reports for deans and university administrators and acts as office liaison with the office of institutional research on the development of these reports.
- Assists with the training of team members (individuals and groups) on the use of "scheduling specific" aspects of Unitime and acts as follow-up resource person.
- Prepare and process form 40’s (Request for Change in Course) and Form 710 (Program of Study) as needed. Communicate changes and updates to Registration Coordinator, Academic Scheduling, Office of Admissions and others as needed. Interact with representatives at Purdue University West Lafayette to communicate changes, corrections and new additions.
- Prepare files for the Banner Document Management System, preparation of paper files, scanning, indexing and validating data attached to the student's record in Banner.
- Assists with special projects. Perform other duties as assigned.
Core Competencies
Strong written/verbal communication skills necessary. Must possess computer skills to retrieve information from the database in order to respond to inquiries or make necessary updates. Ability to effectively respond to inquiries, comprehend what is being asked and gather more information if needed to efficiently resolve problems. Must be detail oriented with ability to multi-task in a fast paced office. Must adhere to strict privacy/confidentiality requirements. As part of the job responsibilities associated with this position, knowledge of rules and regulations set forth by the NCAA and conference should be maintained, reviewed and practiced to ensure compliance relative to those applicable duties.
Education
HS Diploma required, Bachelor's preferred
Experience
Three years of experience in higher education and/or customer service related position. Must be able to maintain confidentiality. Excellent organizational skills and oral and written communication skills appropriate with university, students, faculty and staff. Excellent computer technology skills with proficiency in Microsoft Office. Ability to prioritize work and manage multiple tasks.
