Detailed Description
Responsibilities
- Maintain direct contact with lab supply vendors to setup accounts Obtain proper information and/or data regarding new vendor setup.
- Liaise with laboratory staff on procurement of lab supply orders.
- Create PO in JD Edwards, follow through for completeness.
- Analyze, code, and process PO and non-PO invoices. Ensure proper supporting documentation is provided prior to submission for approval.
- Maintain approved vendor lists and policies to prevent unauthorized invoice payments.
- Verify invoices against purchase orders and ensure services were received before submitting invoices for payment (i.e Conduct 3-way matching)
- Clarify any questionable invoice items, prices or receiving signatures, ensuring billing accuracy.
- Maintain copies of vouchers, invoices or correspondence necessary for files
- Assist with the verification of budget funding on government contracts.
- Work with R&D personnel to process contract base PO and obtaining fully executed contracts.
- Coordinate with corporate office on vendor payments.
- Manage invoices to ensure prompt and accurate responses to vendor queries.
- Track and calculate use tax.
- Assist in maintenance of company contracts drive.
- Support the accounting team, interim and year-end audit requests, special projects, and ad hoc requests.
- Assist in month-end closing activities.
- Associate degree and/or Bachelor’s degree in Accounting, Finance or a related discipline preferred, with a minimum of 5 years of experience in purchasing or relating discipline ; or equivalent combination of education and experience.
- Experience in small biotech companies preferred.
- Excellent communications and interpersonal skills
- An attention to detail and ability to effectively collaborate and communicate with internal team members and external partners.
- Proficiency in Microsoft Office Suite, including strong Excel skills, and a strong understanding of General Ledger systems.
- A highly motivated self-starter with the ability to multitask and work both independently and within a team.
- Strong organizational, analytical, and record-keeping skills.
- This position is required to work on-site in San Diego, CA.
