ADMINISTRATIVE ASSISTANT

The Administrative Assistant will provide administrative support to a department or team. This individual will perform a variety of tasks, including answering and directing phone calls, scheduling appointments and meetings, making travel arrangements, and preparing reports and correspondence. Performs additional tasks and responsibilities as assigned.

Knowledge, Skills, Abilities:

  • Office Procedures & Protocols: Proficient in following standard office procedures, with the ability to handle sensitive information with discretion and maintain confidentiality as necessary.
  • Record Keeping, Data Management, & Document Preparation: Competency in maintaining and updating records, files, and databases for easy information retrieval and effective data management with meticulous attention to detail to ensure accuracy in documents, reports, data.
  • Customer Service & Problem-Solving: Strong written and verbal communication skills for effective interaction with colleagues, clients, and visitors, demonstrating excellent customer service etiquette. Ability to identify and resolve routine administrative issues independently, demonstrating resourcefulness and adaptability.
  • Organization & Time Management: Exceptional organizational skills to maintain order in the workplace, manage calendars, schedule appointments, and multitask efficiently, all while meeting deadlines. Including proficiency in making travel arrangements, including booking flights, hotels, and ground transportation.
  • Adaptability & Initiative: Flexibility to adapt to changing priorities, tasks, and work environments while collaborating effectively. The ability to take initiative and identify opportunities for process improvement and efficiency, as well as proactively supporting colleagues and taking on additional responsibilities as needed.

Required Education and Experience
: High School Diploma or equivalent; 1 years of related experience in an administrative support role.

Preferred Education and Experience
: Associate's or Bachelor's degree in a relevant field. Administrative support experience in construction/construction management industry.

Supervisory Responsibilities:
This position has no direct reports.

Work Environment:
This job operates in a professional office environment. The work environment may include exposure to construction sites and various weather conditions. The noise level in the work environment is usually moderate.

Physical Demands
: While performing the duties of this job, the employee is regularly required to sit, use hands to manipulate computer input devices, and talk or hear. The employee is occasionally required to stand, walk, and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds.

Position Type and Expected Hours of Work:
This is a full-time position. Typical work hours are Monday through Friday, 7:00 a.m. to 3:30 p.m. Occasional evening and weekend work may be required as job duties demand.

Travel:
This position requires driving and running errands as part of the job duties.
