What are the responsibilities and job description for the Full-Time Secretary (Pupil Services) position at Quakertown Community School District?
SUMMARY: The Secretary for Pupil Services shall assist and relieve assigned administrator(s) of paperwork and manage office routine so that the administrator(s) may devote maximum attention to the central problems of education and professional activities.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.
- Maintain a schedule of activities so as to keep the assigned primary administrator(s) abreast of activities relating to his/her responsibilities
- Obtain, gather, and organize pertinent data as required by the administrator and put it into usable form as designated
- Maintain a designated and required filing system including a set of confidential files
- Process incoming correspondence as instructed. To include; but not limited to Access Easy Track and all pertinent and subsequent reports, process 4605 and other pertinent information for students in Pyramid, billing as related to out of district placements; tracking all out of district placements, oversee ACCESS billing responsibilities, oversee all GIEP and 504 paperwork submissions
- Manage IEPwriter input for 504 and Gifted cases
- Place and receive telephone calls, screen calls, and record messages to the administrators in a timely fashion
- Welcome and screen visitors and arrange for their comfort
- Be computer literate and able to use a variety of Microsoft Office programs, word processing software/databases/ spread sheets/ clipart/ email. The ability to prepare routine correspondence, reports, and publications
- Understand, use, and edit for correct grammar/spelling/conventions in all verbal and written communication
- Possess professional telephone skills as a representative of the District and administrators in the Pupil Services Department
- Process budget information managing ACCESS, General Budget and IDEA budget functions
- Maintain a cooperative relationship with other staff members
- Perform such other duties as may be requested
QUALIFICATION REQUIREMENTS:
- Strong clerical skills including typing, proofreading, grammar and spelling
- Ability to establish and maintain effective working relationships with students, administrators, staff members, and community members
- Ability to provide exceptional customer service
- High level of general computer skills and the ability to learn new software programs
- Proficiency in MS Office especially Excel (Using formulas)
- Ability to communicate clearly and concisely, both orally and in writing
- Strong organizational skills
- Ability to perform duties with awareness of all district requirements and Board of Education policies
- Must be skilled at maintaining confidentiality of a wide variety of sensitive information
- Ability to pass clerical skills tests
