The Program Assistant is an important role within our organization that provides support across various departments as needed. The Program Assistant will provide coordination support for the Outpatient Program and Child Psychiatric Program, including additional grants and contacts within the agency. This position requires thorough knowledge and experience of how our programs operate. Furthermore, the position will offer aid to other administrative staff for the Outpatient Program and Child Psychiatric Program when other staff members are unavailable.
The Program Assistant should always conduct themselves with the utmost professionalism while exhibiting exemplary customer service.
Essential Functions:
1. Responding to inquiries about treatment services offered at Quest Counseling and how to access those services, and working closely with referral sources (probation, social services, etc.).
a. Referring clients to the appropriate services at Quest.
b. Abiding by court program Guidelines/specifics if applicable.
2. Entering demographic information into AWARDS (electronic health record system) in a timely and accurate manner.
a. Ensuring all providers are entered into the client's provider information.
b. Ensuring we have the proper ROI's.
3. Collaborating closely with the Directors and Office Manager to maintain the agency's smooth operation.
a. Identify and problem solve any issues that arise.
4. Run monthly reports to identify errors.
a. WITS error report, Contact Lapse Report, Screening Tools.
b. Submitting WITS report to the state.
c. Ensure after-hour crisis information is enter into AWARDS and provide data to the PAT.
5. Assist Human Resources with new hires and new employee fingerprints.
a. Keep spreadsheets current and advise staff of expirations date for training and fingerprints.
Miscellaneous:
1. Back-up Receptionist Responsibilities:
b. Covering the reception desk when needed.
c. Answering phones and scheduling evaluation appointments.
2. Assist with translation of forms/services offered at Quest (preferred).
Internal Contacts:
This position frequently interacts with all Quest personnel, board members and clients and their families. Quest Counseling services clients from differing demographics and all ages.
External Contacts:
The Program Assistant will frequently interact with potential clients and representatives from regulatory authorities, state and county parole and probation officers, court officers, referral agencies, and other community based human service organizations, including acute care hospitals, mobile crisis response teams, etc.
Qualifications:
1. Minimum of two (2) years’ experience in general office procedures.
2. Bilingual in Spanish (preferred).
3. Excellent verbal and written communication skills.
4. Ability to read, write, spell, and compose professional correspondence.
5. Outstanding organizational skills.
6. Ability to maintain confidentiality regarding all client/personnel information.
7. Strong attention to detail.
8. Able to work independently and prioritize multiple tasks effectively.
9. Strong Microsoft Office Knowledge and Experience.
10. Has reliable Transportation.
