Roles & Responsibilities include (but not limited to):
As the Marketing & Event Coordinator, the ideal candidate must be able to organize and reach out to guest speakers for Quest internal events, maintain the Marketing & Events calendar in an orderly fashion, and track event registrations and monitor class attendance numbers. The Marketing & Event Coordinator works closely with our Sales department to create follow up and new client email funnels and ensures the Sales Department is prepared with promotions when introducing/hosting events. The Marketing & Event Coordinator will oversee all promotional content needed for preparing and packing for external sponsorship events, create newsletters to assist with class registration and follow with potential new leads.
- Assists with planning and coordinating marketing events
- Assist in coordination for Quest conferences and large events. Create list of speakers, topics, and agenda for Quest events
- Maintain the QTC Marketing & Events calendar
- Reaching out to guest speakers for Quest internal events
- Organize and plan out monthly class schedule using Monday.com
- Communicate with guest speakers for class/webinar topics to ensure they are in line with quality educational content.
- Coordinate vendors for internal Quest events – create vendor form, prices, reach out to potential sponsors, send sponsors promotional information, keep track to make sure they are cross promoting our events, and handle all communication with vendors/sponsors.
- Tracking event registrations for Quest events, communicate with Marketing Manager to coordinate a newsletter schedule.
- Monitor class attendance numbers and new leads from classes to assess if strategies are working properly and relay information to Marketing Manager. Monitor quality of speakers at our events to plan for future scheduling’.
- Handle all Quest classroom rentals and classroom rental policies for Quest classrooms
- Oversee promotional content needed for preparing and packing for external sponsorship events
- Oversee hosting of events by Marketing and Sales team – make sure the rest of the Sales/Marketing team is prepared with promotions when they are introducing/hosting events.
- Work alongside the business development team member to ensure all external events are added to the Marketing & Events Calendar.
- Assist with event promotion on social media platforms to spread awareness about events
- Build relationships and drive brand awareness within the local community
- Perform other job-related duties as required
Education & Experience
- High School Diploma is required
- College Degree is preferred
- A minimum of 1-2 years of directly job-related experience is recommended
- Event planning experience is required
Skills & Qualifications
- Event planning or event coordination experience
- Time management skills with the ability to organize and prioritize
- Must be able to work well in a team environment
- Willingness to grow and accept new challenges
- Regular and reliable attendance is an essential function of this position
- Must be adaptable
- Proficiency with Microsoft Office Suite (Word, PowerPoint, Excel)
