GENERAL DESCRIPTION OF POSITION
Under minimal direction, performs advanced clerical and administrative office support functions. This position is responsible for the coordination and quality of work produced by other administrative staff. Work is performed with considerable latitude for use of initiative, independent judgement and primarily involves confidential and sensitive correspondence and communication.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Serves as the Project Accounting Coordinator for the local business management staff and works with Business Managers and staff in supporting policies, goals and objectives established by the Chief Operating Officer and the Board of Directors. Carries out all Raba Kistner's policies and procedures, implements and maintains effective communication and working relationships with other departments. Generates project reports from Accounting software, download into Excel and format according to internal procedures, in order to facilitate weekly project reconciliation and monthly invoicing. Provide travel arrangements for personnel and process expense reports into accounting software. Receives, codes and processes vendor invoices for overhead accounts and for project specific into the accounting software. Orders office and/or field supplies and compiles invoices for clients. Reconcile Accounts Payables and Accounts Receivables internally and externally with vendors, clients, or third-party websites. Under general direction, review financial spreadsheets that are project related and maintain files, documents and workflows of confidential information. Perform clerical duties such as generating reports, correspondences, reports, etc. in a neat and professional manner, which includes but is not limited to proofing for grammatical correctness, free of typing and spelling errors and ensuring compliance with company formats. Under limited supervision, interact with internal/external clients to establish subcontracts, procurement of services and perform daily, weekly and monthly reporting and invoicing to facilitate department and project financial goals. Maybe required to facilitate and take notes in meetings such as monthly safety meetings, project meetings, etc. Maintain knowledge about fleet management. Assist with the review of client invoices, weekly reports, subcontracts and work authorizations. As directed, assists with review and quality control of project accounting and invoicing for work produced by others. Assist with internal training of new hires and/or employee orientation and provide backup support for the Senior Administrative Coordinator. Provide support on proposals and negotiations, contract scope review, and understanding deliverables. Provide project financial review, analysis and tracking. As directed, provide financial review of project accounting and invoicing for work produced by others. Perform any other related duties as required or assigned.
QUALIFICATIONS
High School Diploma or General Educational Development (GED) plus seven years of related experience and/or training. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts such as fractions, ratios, and proportions to practical situations. Ability to utilize common sense understanding in order to carry out written, oral or diagrammed instructions. Ability to deal with problems involving several known variables in situations of a routine nature.Ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, clients, general public and other employees of the organization. Limited responsibility with regard to general assignments in planning time, method, manner, and/or sequence of performance of own work operations. Performs work operations which permit frequent opportunity for decision-making of minor importance and also frequent opportunity for decision-making of major importance; the latter of which would affect the work operations of other employees and/or clientele to a moderate degree. Repetitive. Activities or duties using a pre-determined set of processes or directions coupled with nearby supervision. Learned things in situations where choice is simple or patterned. Frequent use of PC/Laptop computer and software, calculators, etc. Probable errors of internal scope readily detected in normal course of work by standard check or routine crosscheck within a single department or office. Errors resulting from inaccuracy would create minor confusion, delay or expense to correct the situation. Frequent contacts with external clients and other outside representatives, wherein the manner of handling these contacts has a bearing on the organization's position and operation. Contacts of considerable importance within the department or office, such as those required in coordination of effort, or frequent contacts with other departments or offices, generally in normal course of performing duties. Requires tact in discussing problems and presenting data and making recommendations, but responsibility for action and decision reverts to others. Possess a valid driver's license within the applicable jurisdiction and meet firm's auto insurability requirements. Advanced experience using Microsoft Office suit such as Excel, Word, PowerPoint, etc. Intermediate Accounting, Alphanumeric Data Entry, Database experience required. Must possess extensive knowledge of General Accepted Accounting Practices (GAAP) and scheduling and Coordination. Contract Scope review and understanding of deliverables. Project financial budget review, analysis and tracking.

ADDITIONAL INFORMATION
May work protracted or irregular hours due to client needs. Local and out of town travel may be required to other Raba Kistner offices, client locations and/or project locations. Must present a professional appearance to best represent the firm and comply with all attendance requirements of Raba Kistner, Inc.
