Job Overview/Purpose:
Events Management is a key function of the Marketing & Communications department for Rabobank Wholesale Banking North America – the corporate & investment banking franchise for Rabobank in North America. The Events team supports high profile and industry-leading events for several audiences, including the bank’s corporate clients, FoodBytes!, Rabobank’s Startup Innovation program, and key internal employee events. These include larger conference-style events and more intimate roundtables and meetings where the bank showcases its expertise and insights across Food & Agribusiness (F&A), commodities, capital markets, renewable energy and startup or early-stage F&A companies. Events are both virtual and in-person.
Context of Job:
Working cross-functionally with a dynamic team, you will work across key marketing initiatives, primarily high-profile corporate events related to food and agriculture, energy, commodities and financial sectors as well as client meetings and forums where the bank’s insights and expertise are showcased.
This role also includes internal event and communications support. These tasks include but are not limited to, in-office happy hours, bank wide business updates and town halls, and other trainings as well as writing support with event recap articles, drafting calendar invite emails, managing the event calendar on the internal intranet, etc.
The role will also entail coordinating and supporting events or facets of events as well as execution support for the promotion, marketing and PR activities related to these events whether they are client or internal focused. You will have a focus on production tasks, digital marketing support, event/brand design, administrative needs (invoicing, meeting agendas, marketing collateral inventory, registration management, etc.), along with other tasks as related to the events and department. The role entails stakeholder assistance, both internal and external, and will involve working across many teams effectively.
Reporting to the Vice President, Senior Events Manager and with guidance from the internal/external Marketing & Communications team members, you will be responsible for development of productive relationships and be seen as a person with expertise in many areas of accountability.
Success in the role will require very strong project management, organizational and communications skills, as well as elements of creativity, flawless delivery and attention to detail across areas such as invitation management, writing, sourcing, production, venue management, and vendor management.
We are looking for a self-starter who is continuously looking for ways to add value while enhancing the bank’s external and internal profile. This candidate should be comfortable with daily interactions with senior executives and a working faculty of event management and social media platforms and tools related to marketing and events.
Key Responsibilities and Accountabilities:
- Coordinate event production, including schedules, briefs, invoices, payments, floor plans, logistics, invite lists, hotel bookings, signage, food and beverage
- Coordinate event related content including event agendas, presentations, steering committee meetings, etc.
- Assistance with drafting RFPs for venues, destination management companies, etc.
- Assistance with reviewing venue contracts, banquet event orders, audio visual proposals and destination management proposals
- Assistance with drafting communication and content plans for Wholesale’s larger scale events
- Onsite support event production at venue (when necessary)
Broader Marketing & Communications support
- Draft communications with relevant vendors, key Rabobank stakeholders and client or staff invitees
- Draft event (internal and external) recap articles for the internal intranet following certain high profile events
- Draft, submit and post articles on the internal intranet
- Support internal digital assets – program images and content for the internal office television system
- Assist with the annual development and review of the Wholesale Banking North America events calendar to achieve our client engagement and business objectives
- Populate the Wholesale Events calendar on the internal intranet on a bi-weekly basis
- Support Wholesale Banking North America branded collateral tied to events, including internal and external presentations, digital copy, collateral, graphic design
- Manage branded items including banners, backdrops, gifts and collateral items needed for various events
Digital / Graphic Design
- Support Events, Marketing & Communications team with all digital platforms including:
- CVENT (including Social Tables and Attendee Hub)
- Dropbox
- CANVA
- Photoshop and/or InDesign
- Provide support for presentations/slides through PowerPoint
- Assist with building and managing graphic design assets for internal and external events and sponsorships
- Proficiency in Adobe Creative suite (a plus)
Job Skills and Knowledge:
- 3-5 years of events and related marketing and writing experience, including coordination of high profile events, preferably in a banking, other financial services or a professional services setting
- Bachelor’s degree in business field, marketing, communications, journalism or English preferred
- Experience with working on events ranging from 50 – 500 attendees
- Ability to think strategically and manage vendors
- Role will be based in New York City but entail periodic travel throughout the year, within the US and Canada.
