Job Summary
The Jail Property Clerk is responsible for the orderly and professional operation of the Jail’s Inmate property and mail room. The Property Clerk is responsible for tracking certain data used in preparing various reports and billings at the direction of the Jail Administration. In addition, the Property Clerk is responsible for responding to inmate requests and complaints and ordering and professionally maintaining various jail supplies needed for operation and inmate needs.
Essential Duties
- Maintaining of inmate property which includes receiving letters, books and newspapers through the US Postal Service and other approved sources.
- Scanning and/or copying all incoming inmate mail.
- Responding to inmate requests and complaints addressed to the Property Clerk.
- Ordering, maintaining, and inventorying Jail supplies.
- Processing billing for a variety of agencies which includes keeping accurate records such as spreadsheets, email correspondence, and professional communication with the agencies.
- Candidate must be organizationally sound, have a good attendance record, and the ability to learn a variety of different programs and applications.
- Other miscellaneous clerical duties as assigned
Supervision Received:
Receives general supervision from the Clerk Lead position, Correctional Sergeants and the Jail Administration.
Qualifications
- High school diploma or GED equivalent.
- Experience in Microsoft Word and Microsoft Excel.
- Type 50 net w.p.m. with 95% accuracy.
- Prompt and regular attendance.
Knowledge Skills & Abilities
- Demonstrates an ability to quickly gain an understanding of the associated jail service standards and learns how to handle complaints, questions, or inquiries from the inmates, public and coworkers.'
- Demonstrates an ability to respond to basic issues as they arise and quickly responding to situations in a polite and respectful manner. Knows when to refer an issue to a higher-level employee.
- Demonstrates a basic understanding and respect for the diversity of the jail at large; inmates, co-workers, supervisors, command staff and the public
- Ability to maintain accurate and complete records.
- Ability to communicate effectively with other employees and the general public.
- Ability to use word processing and records management software programs on a personal computer.
