job summary:
This position provides analytical, administrative, and management support for the IT Facilities and IT Implementations teams. Incumbent is expected to research, analyze, coordinate, interpret, and recommend courses of action on projects in which the department is responsible. Additional functions include a full range of departmental administrative, business, human resources, and fiscal activities, including budget control, and organizational/ operational improvements, as well as project scheduling/coordination. This position will exercise initiative, originality and judgment in applying established principles and practices to new and unusual problems.

DUTIES:

  • Apply professional concepts to carry out analytical studies or projects with a moderate scope and complexity.

  • Analyze issues and problems, gather relevant data and information, evaluate alternatives, and provide well-founded recommendations concerning project scheduling and coordination.

  • Utilize professional concepts to conduct analyses of data and requirements related to projects, policies, initiatives, processes, or functions of moderate co

  • Prepare, edit, and modify various documents, including project plans, project schedules, presentations, service tickets, and proposals.

  • Utilize subject matter knowledge to gather and prepare information for discussions and meetings with internal and external stakeholders.

  • Conduct analytical studies on a range of IT Facilities initiatives, policies, procedures, and issues, as required by specific projects.

  • Perform a variety of analyst tasks in support of functions, initiatives, programs, or units.

  • Contribute to administrative policy and program project planning and development.

  • Offer recommendations and guidelines for departmental initiatives.

  • Coordinate program planning and collaborate with program/project staff.

  • Carry out onboarding tasks and submit service requests related to the hiring of new staff or contracted personnel.
  • Input operational and financial requisitions online when necessary.

  • Maintain project calendars for the IT Implementations/Facilities teams as directed.

  • Maintain a comprehensive and up-to-date understanding of the activities, projects, and concerns of the IT Division leadership team, to proactively anticipate needs and offer analytical and administrative support.

  • Establish and manage professional, administrative, and confidential files.

  • Undertake and successfully conclude special projects as assigned by the IT Implementations/Facilities Management teams.

  • Prepare a range of documents, including correspondence, tables, charts, presentation materials, and reports, utilizing various software applications.

  • Coordinate and oversee departmental correspondence, project timelines, material management, project submittal reviews, capital equipment requests, and other administrative functions.

  • Organize training sessions for IT Implementations/Facilities staff annually, following approval by Management, and manage travel and training reimbursements in accordance with Policy.

  • Coordinate meetings and compile agendas for IT Implementations/Facilities as required.

  • Foster high quality and professional communication and coordination with executives, managers, faculty and staff in the facility, vendors or community organization, by establishing good rapport and a professional working relationship with others to facility delivery of services.

  • Backup for other Division Analysts when requested

  • Other duties as assigned.
