Position Summary
Primary role will be to support the Land Development personnel.
Duties & Responsibilities
- Serve as liaison between trade partners, Accounting, Finance, and other internal and external partners on invoices, pay applications and questions that arise.
- Reach out to trade partners to request support for invoices including but not limited to reports, deliverables, and mileage statements and save in electronic files.
- Research and resolve invoices discrepancies and issues.
- Use the Integrated Homebuilder Management System (IHMS) to enter fully executed contract and proposals.
- Assist Accounting & PM Team with transactions relating to all aspects of trade partner documents, construction contracts and engineering proposals, including purchase orders, pay estimates, invoices, back charges, return credits, adjustments, and letters of credit.
- Review and accurately code trade partner invoices, purchase orders, engineering proposals, construction contracts, etc.
- Data entry, filings, and records maintenance.
- Support the Project Management team with check requests, invoices, and drafting purchase orders
- Maintaining Office Inventory and Storage needs.
- Promptly respond to phone calls, email messages, and inquiries from employees and trade partners, always displaying a proactive to customer service and problem resolution.
- Exhibit a professional level of interaction with all levels of management and non-management.
- Responsible for communicating professionally, both verbally and written, with all business contacts including but not limited to, team members, trade partners, local counsel, etc.
- Maintains confidentiality always while performing job-related duties
- Oversee incoming and outgoing mail and parcels
- Ability to direct paper flow and work under tight deadlines
- Additional duties as required
Requirements
- At least one year in an office environment/admin type role
- Works independently and within the team on special nonrecurring and ongoing projects, which may include, planning and coordinating multiple presentations and disseminating information
- Ability to organize, prioritize, and schedule work assignments
- Proficient in Microsoft Excel, Microsoft Word, and Outlook
- Maintains a positive attitude and has the ability receive direction and coaching
- Maintains confidentiality always while performing job-related duties
- Willingness to "go the extra mile" to achieve goals and objectives
Preferred Qualifications
- Associate's or Bachelor’s degree in similar field
- At least 1 year of previous experience in accounts payable
Physical Demands
- Lifting up to 20 pounds occasionally and frequently moving small objects
- Frequently sitting for long periods of time
- Walking or standing occasionally
- This position works mostly indoors going outdoors may be frequently required
- Must have manual use of hands and vision to use computer constantly
