JOB TITLE: Office Administrator

Ray Roberts Realty was founded over 20 years ago with the goal of establishing a hands-on, relationship-based, real estate investment and property management service company.

GENERAL JOB DESCRIPTION

Our small but growing property management firm is looking for an experienced Administrative Assistant to be the primary point of contact for prospective residents. Outstanding customer service, strong customer service skills, written and verbal communication, high energy and flexibility are essential to this important position.

The Office Administrator is primarily responsible for reciprocating, initiating and maintaining contact with prospective residents, inclusive of completing lease documents, scheduling unit viewings, accepting rental applications, adhering to fair housing guidelines and notifying applicants of application decisions.

We 're looking for a friendly, outgoing individual who has previous sales experience and can offer competent service to our renters. You will also need a fair, but firm approach to handling applicants and residents. You will work with several other admin professionals on a rotating schedule and answer directly to the Operations Director.

MAJOR DUTIES AND RESPONSIBILITES

Determine needs of any prospective residents and preferences, professionally present community and specific apartments, while providing features and benefits, and also help to qualify prospective resident.

Respond timely to prospective resident telephone calls and internet lead responses.

Negotiate terms and conditions of prospective resident 's lease. Operation Director’s approval necessary before lease execution.

Correctly complete all lease applications, assist with application verification, and notify prospective resident of results in a timely manner. Report any incomplete move in or vacancy paperwork immediately. Share application decisions according to the CA fair housing guidelines.

Ensure daily that the "_market ready "_ vacant units are in perfect condition for presentation to prospective residents. Immediately report any necessary repairs, complaints, issues or updates to supervisor.

Serving as first point of contact for people calling or visiting the community office, directing individuals to the appropriate resources including owners and prospective clients.

MINOR DUTIES AND RESPONSIBILITIES

Assist with Leasing call backs, deposits, scanning and coding.

Assist with department mailers i.e. collection letters/notices and leasing mailers/communications.

Other duties as assigned.

Perform other administrative/leasing duties as requested.

QUALIFICATIONS FOR THE JOB

Education:

High School Diploma or Equivalent

Experience:

Minimum 2 years leasing experience

Other:

Effective written and oral communication skills

Able to work well with minimal supervision

Ability to comfortably share favorable and unfavorable application decisions with applicants

Ability to prioritize tasks and follow specified procedures

Strong time management ability

Ability to consistently meet all deadlines

Job Type: Full-time

Pay: $20.00 - $25.00 per hour
