RESPONSIBILITIES:
Licensed Property Manager
The property manager manages the daily operations of the property including, but not limited to, property maintenance, capital improvements, employee supervision, vendor relations, owner/renter relations, financial planning, record keeping, and administrative tasks. This job includes a wide range of duties and expectations beyond those listed below, so flexibility, a willingness to learn and a can-do attitude are priority. The property manager reports to the Board of Directors.
Job Duties
Board of Directors Support
- Prepare agenda, meeting notices, prepare, coordinate and disseminate pertinent information, keep minutes and participate in condo association board meetings, annual owner meetings and special meetings.
- Enforce association bylaws, rules and regulations. Maintain proficient knowledge of condo association governing documents and State of Florida Department of Business and Professional Regulation statutes and monitor for changes. Recommend changes to association rules and regulations as appropriate. Handle communication of rule violations (via written warning if necessary) and work with owner/renter to resolve.
- Advise and work with the board on strategic initiatives, industry best practices, policy, governance and association projects. Act as liaison between board and residents in execution of same and assist board with prompt resolution of owner/renter disputes.
- Maintain open communication with board members; provide routine project status updates.
- Oversee all aspects of the Association’s rental program.
- Assist the Board in approved employee hiring, training/development, supervision, and performance management.
Property Management
- Responsible for daily operations of the condominium community and property.
- Set priorities and manage all aspects of routine maintenance and approved project work in conjunction with the Maintenance Manager.
- Supervise maintenance of the property and contract as necessary for landscaping, capital improvements and repairs. Coordinate request for proposal (RFP), bid process and vendor contract negotiations.
- Maintain and implement an emergency preparedness plan; handle on-call emergency services.
- Complete and maintain records including but not limited to: insurance certificates, vendor contracts, warranty information, monthly property inspections, preventive maintenance, electrical and mechanical equipment (and repairs), rental program and emergencies.
Financial Management
- Assist with preparation and management of annual budget, taking into account reserve study recommendations. Monitor budget, contracts, and financial transactions. Maintain financial records. Coordinate bookkeeper/accounting services, including but not limited to: collections, deposits, review of bank statements, owner statements, vendor invoices, billing and payments. Prepare monthly budget variance report/executive summary for board.
- Work with the board to obtain/monitor appropriate insurance coverage and to manage claims as needed.
- Work with the board and outside accounting firm to complete audit of financial statements and required tax filings.
- Follow up on collection of delinquent assessment payments.
Owner/Renter Relations
- Maintain proactive communication with owners and renters including meeting notices, monthly newsletter, website updates, etc. Walk the property on a routine basis, ensuring buildings and grounds look their best and get input from owners on issues/ideas for improvements.
- Work with owners regarding renovations, repair and maintenance of individual units and coordinate condo purchase process with new owners. Conduct new owner/renter orientation.
QUALIFICATIONS:
Qualifications & Requirements
- 5 years’ experience in condo or residential property management.
- CAM (Community Association Manager) Florida license required.
- Associates Degree (Bachelors Degree preferred).
- Proficient with Microsoft Office Suite and familiarity with Association software programs
- Excellent leadership and people management skills. Able to function and thrive in a team-based environment.
- Strong financial background. Able to analyze and interpret financial data.
- Strong prioritization, organizational and time management skills. Able to work in fast-paced environment.
- Proficient in conflict resolution techniques.
- Strong written and verbal communication skills. Proficient with business correspondence (grammar, structure, punctuation, spelling, etc.).
- Sets and maintains high standards of performance and ethical conduct
- Innovative thinker and strong problem solving skills
- Knowledge of the Association’s condominium documents including insurance requirements.
- Knowledge of the Florida Condominium Act and statutory requirements governing Condominiums.
- Knowledge of relevant codes, laws and ordinances; acquire and maintain knowledge of current state condo laws, fire and health codes, worker’s compensation laws, tax requirements, and local ordinances.
- Background Check and drug test required.
