The Corcoran Group is seeking a Facilities Manager to oversee and supervise the physical operations, budgeting, purchasing, renovation and/or construction of offices throughout Manhattan, Brooklyn, and Florida to ensure that they operate at optimum professional levels.

- Direct the performance of all maintenance service requests, ensuring that work is accomplished efficiently with a minimum amount of disruption and inconvenience.
- Coordinate moves for people and equipment.
- Manage facilities crises on as-needed basis, provide feedback and receive direction from executive staff.
- Negotiate maintenance relationships and contracts.
- Work with outside project management agencies as needed.
- Foster relationships with office landlords and property management organizations. Liaise with onsite building staff
- Work closely with site directors, finance and executives to estimate and prioritize capital expenditures for the next year.
- Track expenditures and manage cap ex budgets, in concert with Finance staff.
- Obtain requirements and sign-offs for space plans and design proposals from company executives, marketing department, branch managers and office staff.
- Produce paperwork seeking approvals for leases and capital expenditures from Finance Dept/parent company.
- Review lease drafts for new offices; analyze terms related to all facilities matters, Landlord’s Work, Tenant’s Work and TI Contributions.
- Conduct feasibility studies of prospective locations.
- Project manage all new office construction, renovation of existing offices, and incorporation of acquired offices, as well as closure of surrendered office spaces
- In partnership with CEO and COO, interview and recommend for hire architects, designers, engineers, general contractors and other appropriate construction and design vendors.
- Conduct bidding processes for awarding vendor roles.
- Negotiate vendor contracts for approval. Manage and maintain vendor relationships.
- Maintain records on all maintenance and construction activities including floor plans.
- 24/7 availability to answer facility service requests.
- Give direction to in-house facilities staff.
- Bachelor's degree in engineering, architecture, construction management, business administration or facility management preferred; may consider candidates without a degree given applicable work experience.
- Five plus years of experience required with at least one to three years in a management capacity.
- Class A building operations experience required with knowledge of HVAC, building systems, hard and soft assets, etc.
- Background in real estate or property management, facilities management, or construction preferred.
- Contract specialist, cost analyst or procurement specialist experience preferred.
- Must be able to initiate and follow through with various projects. Multi-tasking and effective organizational skills are essential.
- Strong math and analytical still necessary for planning and budgeting purposes.
- Should be analytical, detail-oriented, flexible and decisive.
- Must possess strong contract negotiation skills.
- Must be able to coordinate several activities at once, quickly analyze and resolve specific problems and cope with frequent deadlines.
- Must possess excellent verbal and written communication skills and be able to establish effective working relationships with both internal and external customers at all levels.
- Must be able to travel to and from branch office and vendor locations.
