Job Summary:
Acts as a liaison between potential, new, and existing customers. Always providing exceptional customer service. Initiates services by determining performance problems and service requests; verifying warranty and service contract coverage; developing estimates and writing repair orders. Handles customer questions and complaints to ensure satisfaction. Responsible for the overall billing process, editing, closing, purchase order securement and invoicing Repair Orders and Local Purchase Orders Responsible for initiating follow-up calls to all service customers and communicating all feedback. |
Ability to process and locate unit parts for internal and external customers. Verify part numbers in the appropriate books via electronic records to ensure accuracy. Perform cycle counts and record data, reporting any variances to management. Monitor inventory levels and research any data inconsistencies. Initiate daily contact with Parts Manager to make sure shop needs are met so operations run smoothly. Enhance an organization’s reputation by accepting ownership for accomplishing work that meets and exceeds customer expectations. Promotes a safety culture in the work environment.
Duties & Responsibilities:
- Manages phones, to include incoming and outgoing calls.
- Manages appointments and walk-in customers, to include checking customers in and out.
- Manages lot list, to include adding and editing equipment, customers and job information.
- Determines problems and services by listening to customer’s description of symptoms and clarifying description of problems.
- Verifies warranty and service contract coverage by examining records and papers and explaining provisions and exclusions.
- Prepares repair orders by describing symptoms, problems, and causes; to include repairs and services required, obtaining approval signatures, and entering repair order into service database system.
- Develops estimate for services to be provided to include supplies, labor, and deductions.
- Obtains required purchase order (PO) numbers from customers and follows up with customers for any missing PO numbers.
- Updates job knowledge by participating in educational opportunities and reading manufacturers publications.
- Assist service shop technicians in identifying parts necessary for repairs and pulling the parts for them and getting them posted to the repair order.
- Attention to detail in every facet of inventory.
- Cycle counting inventory includes counting and documenting counts, reporting variances to management, and researching variances.
- Maintain a clean and orderly warehouse/shop area.
- Check in stock orders and daily deliveries, process inbound as needed.
Utilizes critical thinking skills, problem solving abilities, and exercise good judgment when completing tasks in and efficient, correct, and productive manner.
Coordinates resources to meet deadlines in a fast-paced environment.
Active listening skills, oral/ written comprehension, and commitment to perform quality services.
Basic computer and data entry skills for Windows based software programs e.g., Karmak Fusion a plus. Knowledge of Microsoft Office Suite: Outlook and Word helpful.
