Job Posting for Office Assistant at Reformation Home Health
Here at Reformation Home Health, we are looking for a competent Office Assistant to help with the organization and running of the daily administrative operations of the company. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. This person will also be located in office from 9am-5pm Monday-Friday WITH THE STIPULATION that if there is a No Call- No Show to a patient home visit or a call in with no other available staffing available the office assistant will be leaving office and going out on these select visits.
Responsibilities
COVERAGE FOR ALL NO CALL NO SHOWS AND CALL INS between the hours of 9am-5pm Monday-Friday. Leaving the office for these select visits in the event this happens and then returning to the office after the visit is completed.
Occasional weekend assistance or on-call assistance if needed
Organize office and assist associates in ways that optimize procedures
Sort and distribute communications in a timely manner
Create and update records ensuring accuracy and validity of information
Schedule and plan meetings, orientations, interviews and appointments
Monitor level of supplies and handle shortages
Resolve office-related malfunctions and respond to requests or issues
Coordinate with other departments to ensure compliance with established policies
Maintain trusting relationships with participants and caregivers
Perform receptionist duties when needed- answering phones and making phone calls under the direction of other office personnel
Monitor attendance policy
Skills
Proven experience as a back-office assistant, office assistant, or in another relevant administrative role
Working knowledge of office equipment- phones and computer
Thorough understanding of office management procedures
Excellent organizational and time management skills
Analytical abilities and aptitude in problem-solving
Excellent written and verbal communication skills
Operate office phones, answering and making calls under the direction of the other office personnel
