Compliance Specialist - Vendor Management
Reports to: Managing Attorney – Compliance
Job Responsibilities
We are looking for a Compliance Specialist - Vendor Management who will be the responsible link between Reimer Law and our third-party vendors. The Compliance Specialist - Vendor Management must have excellent communication, organizational, and people skills. The Compliance Specialist - Vendor Management will be responsible for assisting with implementing vendor quality control checks with a focus on third-party risk management, assisting with selecting law firm vendors, onboarding and offboarding them, monitoring vendor services, auditing and reporting on them, assisting with renewing vendor contracts, and cultivating a positive working relationship with each vendor.
The responsibilities for a Compliance Specialist include, but are not limited to:
- Assist with developing and maintaining a sound vendor management program designed to eliminate, lower and/or limit law firm and client risk when working with third parties.
- Assist with developing a risk profile and evaluating risk level of each law firm vendor.
- Assist with oversight and management of higher risk vendors.
- Assist with tracking performance of our vendor network and setting up goals to create specific output.
- Convey consistent feedback, training and keep the lines of communication open to ensure quality and efficiency of vendors.
- Assist with development of specific, measurable metrics to monitor on-site and outsourced staff performance and client satisfaction.
- Identify, report, investigate and escalate incidents when vendors fail to meet expectations and create and track resulting remediation plans.
- Assist with the vendor selection, contract negotiations and onboarding/offboarding of vendors.
- Work closely with law firm Management and other departments to ensure client expectations are met on a consistent basis.
- Communicate regularly with law firm Management to gauge vendor performance satisfaction and work together with our vendors to resolve issues and maintain a cohesive, mutually-beneficial working relationship.
- Continually analyze, assess and communicate vendor expectations based on client needs and projected budgets.
- Assist with ensuring that all staff and outsourced staff are trained to operate in the client and vendor systems.
- Communicate with clients, vendors, and respective administrative staff as required.
- Communicate with escalation contact to help resolve conflicts, disputes, timeliness issues and other situations as they arise.
- Assist with tracking vendor performance and provide monthly summaries of same to Management.
- Perform other duties as assigned to maintain departmental functions.
- Assist with performing quality control of vendors’ performance to ensure accuracy and efficiency.
- Communicate at least monthly with all vendor managers to ensure our goals align.
- Review data and analyze for data-driven choices to eliminate risks.
- Assist with auditing vendors at least annually, in compliance with our client requirements, which may include traveling to vendor sites.
- Review and analyze vendor invoices for accuracy.
- Assist with review and analysis of vendors’ business continuity plans and cyber security protocols.
- Obtain documents required by, or ancillary to, vendor contracts to ensure each vendor remains in good standing.
- Perform due diligence on and recommend vendors to Management when a need arises.
- Assist Management in vendor cost/benefit analyses.
- Assist in vendor dispute resolution and client complaints.

- Basic concept/understanding of default services would be helpful.
- Basic Knowledge of Perfect Practice & Case Aware would be helpful.
- Basic Knowledge of Client Software Databases, such as Black Knight, Tempo and SSE would be helpful.

Requirements
- Bachelor’s degree in business administration or related discipline preferred.
- 1-3 years litigation, foreclosure and/or bankruptcy experience with a law firm, mortgage banking or related institution preferred.
- 1-3 years of experience in the compliance or vendor management field a plus.
- Ability to write reports, business correspondence, and training/procedure manuals.

Salary : $58,600 - $74,200
