WHAT WE’RE LOOKING FOR

This individual is responsible for efficiently managing the organization's Information Technology (IT) assets throughout their lifecycle. This will involve coordinating the procurement of IT equipment and software, overseeing the existing equipment pool, tracking equipment returns, managing e-waste recycling efforts, coordinating copier moves, facilitating the return of leased equipment, and updating the Configuration Management Database (CMDB) with hardware status changes. Attention to detail and excellent organizational skills will play a crucial role in ensuring accurate asset records and supporting the organization's IT operations. 


A GLIMPSE INTO WHAT YOU'LL BE DOING

  • Collaborates with relevant teams to gather IT equipment and software requirements.
  • Places orders for IT equipment and software from approved vendors, such as CDW, ensuring accuracy and adherence to budgetary constraints.
  • Monitors order status and follow up on deliveries to ensure timely receipt.
  • Maintains a centralized inventory of available IT equipment, ensuring proper storage and organization.
  • Regularly assesses equipment availability and condition for efficient asset allocation.
  • Develops and implements a process for tracking IT equipment returned by employees or upon termination.
  • Conducts inspections to assess the condition of returned equipment and prepare it for redeployment or recycling.
  • Coordinates e-waste recycling requests with local contacts and e-waste vendors, ensuring compliance with environmental regulations.
  • Maintains a report of recycled assets, including quantities and disposal methods, for reporting and auditing purposes.
  • Works with relevant departments to plan and coordinate the relocation of copiers within the organization.
  • Ensures minimal disruption to workflow during copier moves and update records accordingly.
  • Coordinates the return of leased equipment, such as copiers and network devices, at the end of their lease terms.
  • Collaborates with leasing companies to ensure smooth return processes and accurate documentation.
  • Maintains the Configuration Management Database (CMDB) with accurate and up-to-date information regarding incoming and outgoing hardware assets.
  • Ensures that hardware status changes, including deployments, returns, location changes, ownership changes and disposals, are promptly recorded in the CMDB.
  • Provides reconciled asset management report to Finance on a Monthly basis.
  • Performs other duties and special projects as assigned.

Requirements

WHAT YOU'LL NEED TO BE SUCCESSFUL IN THIS ROLE

  • Bachelor's degree in Business Administration, Finance, or a related field preferred. A technical degree with relevant experience is also helpful. 
  • Minimum of 2 years’ experience as an Asset Manager or similar role.
  • Knowledge of asset tracking software and IT systems used for asset management.
  • Relevant certifications in asset management or related fields are a plus.
  • Ability to travel as required.
  • Advanced user in Microsoft Office Suite, particularly Excel.
  • Excellent communication and interpersonal abilities for effective collaboration and to handle sensitive and confidential situations.
  • Familiarity with relevant regulations and compliance standards related to asset management.
