Job Duties
- Provides secretarial/administrative support to executive and nonexecutive employees or groups in the organization globally, with special focus on staff associated with the San Diego office location.
- Main point of contact for general Human Resources, Facilities, and Technology communications specific to the San Diego based staff.
- Uses business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc.
- Receives, screens and directs visitors, mail and email
- Manages records, calendars and diaries and schedules meetings for San Diego Site Lead, individuals and groups
- Arranges business travel, coordinates meeting arrangements, and clears and tracks expenses on behalf of site and individuals.
General Profile:
- Requires specialized skills or is multi-skilled as developed through job-related training and considerable on-the-job experience in administrative/executive assistant-like role.
- Completes work with a limited degree of supervision
- Functional Knowledge: Requires skills in a range of processes, procedures and systems to carry out assigned tasks or has developed deep skills in a single area
- Business Expertise: Applies knowledge of how the team integrates with other teams to achieve objectives
- Leadership: Provides informal guidance and support to team members, and networks with other Assistants throughout the organization
- Problem Solving: Provides solutions to atypical problems based on proven practices or procedures
- Impact: Impacts the quality, timeliness and effectiveness of the team and the San Diego site; recommends changes to improve staff satisfaction balanced with business outcom
