Summary: Responsibilities include performing support to the day-to-day activities of the Institutional Partnership program including client/clinic communications, billing, and documentation processes, as well as supporting the Institutional Partnership Manager.
ESSENTIAL DUTIES and RESPONSIBILITIES:
- Assist with IP Client Depositors in Acumatica and the Cryo-Logix portal, including new account setup and closure, filing, recording data, invoicing, payments, inventory and account final reviews.
- Answer phone calls and respond to client inquiries.
- Contact clients regarding past due balances.
- Provide clients with requested documents via email or mail.
- Process inbound client documents, adding notes to client accounts in Acumatica.
- Assist in monthly invoicing of all IP client depositors.
- Process accounts for termination.
- Coordinate client and shipment needs with clinics.
- Prepare shipping documents.
- Create UPS air bills to vendors as needed.
- Receive mail, sort, distribute, process checks.
- Manage the IP Customer Portal, Fax, Info, Billing and DocuSign Forms inboxes by responding to inquiries as assigned.
- DocuSign File organization/follow up.
- Follow up on Auto Charge Declines and Financial Assistance.
- Third Party billing.
- Monthly billing clean-up tasks.
- Contact clients for updated addresses/contact information as needed.
- Ongoing completion of Administrative Training Tasks.
- Accounts Payable administration.
- Process patient/client data within the clinic’s database as applicable to the IP.
SECONDARY DUTIES AND RESPONSIBILITIES:
- Accompany IPM on clinic visits
- Perform duties as outlined and other duties as assigned

QUALIFICATIONS:
- High School diploma or GED, diploma or transcripts required
- One year of relevant office experience
- Experience with insurance billing a plus
- Excellent verbal and written communication skills
- Excellent organizational skills with a strong attention to detail required
- Flexibility and a positive attitude are essential
- Self-motivated and team player
- Ability to perform light lifting, up to 10 lbs.
