Job Title: Operations Coordinator Date: May 2024
Job Description:
The role will directly report to the US Operations Director, overseeing the seamless operation of REVIV US clinics. As the Operations Coordinator, you'll be responsible for optimizing various functions such as staffing, inventory management, ordering, system upkeep, and reporting. Close collaboration with clinic personnel, as well as Operations, Clinical, and Customer Services teams, will be essential to ensure that all US clinics are appropriately staffed and operational around the clock.
Key Areas of Responsibility:
- Preparing the monthly staffing schedules for clinic teams and liaising with managers to identify and resolve any staffing challenges.
- Supporting the clinic staff in the coordination and staffing of concierge requests.
- Coordinating the fit-out of new clinics and concessions including liaising with procurement to source furniture and equipment.
- Driving automation in process by ensuring that all clinic teams are effectively using the tools and technologies available.
- Forecasting stock requirements and ensuring that all clinics have the stocks and supplies needed to continue business operations at all times.
- Collaborating with the global procurement team to place orders for stocks and supplies required.
- Performing regular stock audits and reconciliations to ensure accurate cost of goods calculations.
- Identifying when updates or changes to utilities, insurances and licenses are required and liaising with the relevant teams/individuals to resolve.
- Understanding the business continuity/disaster recovery plans for all REVIV US locations and being prepared to implement such plans should the need arise.
- Supporting the implementation of repeatable and scalable operations processes
- Collaborating with peers across global operations to share best practice and implement process improvements.
- Supporting in clinic measurement of customer satisfaction, reporting satisfaction levels to senior leadership and deploying plans to target any areas of concern.
- Collaborate with property management to schedule regular maintenance activities.
- Conduct periodic spot checks to identify maintenance requirements promptly.
- Ensure adherence to OSHA standards for a safe and compliant clinic environment.
- Pursue leads for enhancing existing systems to streamline clinic operations.
- Propose innovative suggestions to optimize clinic processes for greater efficiency.
- Offer prompt troubleshooting support during system outages or equipment malfunctions, ensuring minimal disruptions to clinic activities.
