Job Summary 

RF|Binder, a communications and consulting firm in NYC, is seeking a proactive, organized and intellectually curious Talent Coordinator and Office Manager. You will report directly to the Director of Talent, and work closely with the Executive Assistant to the CEO and administrative team. The right candidate will be entrepreneurial, solution-oriented, undaunted by challenges, creative in solving problems, possess a winning mindset, and have exceptional organizational, time management, and communication skills. 

The Talent Coordinator, Office Manager must also demonstrate the highest levels of business and personal ethics and integrity and set an example of positivity and professionalism to the rest of the firm. The Talent Coordinator, Office Manager will take pride in maintaining an office environment that communicates professionalism and dedication to our firm and its excellent client service. Primary Talent Coordinator Responsibilities

Support Talent Director in consistent execution of RF|Binder’s employee experience, including scheduling interviews, building onboarding calendars, goal and performance review tracking, management of learning and development calendar as well as RF|Binder alumni database (details on each below); and development and execution of engaging activities for the RF|Binder team

Recruiting:

  • Keeping our candidate tracker system, Greenhouse, updated and organized
  • Schedule interviews and debriefs
  • Deliver updated tracking reports for all open positions 
  • Maintain pipeline of candidates for future opportunities 

Onboarding:

  • Draft baseline onboarding calendars for review and tailoring by Talent Director, and overtime independently
  • Introduce ideas for more efficient processes for streamlining the onboarding process
  • Handle scheduling of onboarding meetings and trainings once confirmed by Talent Director
  • Coordinate with IT to ensure they have the required information for new hires
  • Send, collect, and keep all onboarding paperwork organized and stored on box.com

Career Path and Employee Experience:

  • Schedule new employee goals documents and quarterly performance reviews, following up with Development Leaders as directed by the Talent Director to ensure they remain on schedule
  • Work closely with Talent Director to brainstorm and plan employee engagement initiatives including monthly game nights, quarterly care packages, ordering RF|Binder swag, and planning happy hours
  • Own the yearly employee engagement calendar, bringing new ideas to the table, and working with Talent Director to proactively plan each month’s activities in advance, and coordinate with the required parties involved (e.g. Social Justice Committees, Team Huddles etc.)

Learning & Development:

  • Assist in scheduling quarterly Hour to Empowers 
  • Help audit LinkedIn Learning courses to build RF|Binder’s “library” of recommended courses

Alumni:

  • Track our engagement with alumni, and maintain updated list of alumni and remind designated contacts to reach out at regular intervals
  • Assist with offboarding process for team members 
  • Bring ideas on how to continually engage with alumni and how to integrate with RF|Binder’s ongoing calendar of programming
  • Ensure all RF|Binder systems and processes are being followed while also focusing on continuous improvement, and making adjustments and recommending new approaches to ensure goals of talent team are met and purpose of firm is reached
  • Proactively seek new opportunities for RF|Binder to continue to push boundaries for our people and clients, and foster a collaborative and engaged environment, in a hybrid work environment 

Primary Office Manager Responsibilities

Support the Administrative team as directed by the Executive Assistant to the CEO, in maintaining a clean, organized and welcoming office environment, serving as a member of the reception team, managing inventory, maintaining relationships with vendors/suppliers, booking travel, organizing events, and other duties as outlined below:

  • Office presentation/organization (e.g., ensure all spaces are clean, neat and presentable)
  • Proactively suggest way to maximize efficiency of space
  • Develop and manage inventory system 
  • Manage food in office (e.g., breakfast/lunch when events in space, snacks in kitchen)
  • Manage and oversee travel booking platform as needed
  • Manage relationships with all specialty vendors (e.g., water vendor, coffee company, Amazon/Fresh Direct)
  • Serve as the liaison with building
  • Manage daily operations in office when people come in, including following COVID policies (e.g., COVID test, wiping down spaces, etc), go-to person for anyone in the office, dishwasher management, guest registry, mail and packages, and any meeting preparation 

Experience and Qualifications

  • Excellent communication skills, verbal and written, persuasive and a great relationship builder
  • Must have tremendous initiative and drive to perform tasks in a timely and organized manner and within a fast-paced environment
  • Ability to be resourceful, creative and flexible in approach and attitude towards work assignments and challenges
