Job Description Summary

POSITION SUMMARY:

Works as part of an advising team to advise 1st, 2nd, and 3rd year students on course selection, degree requirements and academic policies and procedures; to monitor their academic progress; to counsel students in academic difficulty; and to assess student needs and make appropriate referrals. The advisor maintains accurate student records, evaluates transfer credit and tracks students’ progress toward their degree. The advisor must be able to work effectively as a team member and to form effective working relationships with staff and faculty throughout campus

Job Description

DUTIES AND RESPONSIBILITIES:

  • Provide information to students about degree programs, minors, registration procedures, grading process and academic policies and procedures as found in the College catalog and student handbook.
  • Facilitate student retention by contacting advisees about fifth week grades, midterm grades, withdrawal deadlines, and minimum grade requirements; work to track these students to determine if we have any trends that negatively impact retention.
  • Advise students regarding consequences of excessive absences with regard to current attendance policy, effects on grades and options for withdrawal from a course.
  • Confer regularly with Student Learning Center (SLC), Student Life staff and First-Year Faculty Advisors to assess at-risk students.
  • Track student progress toward meeting degree requirements by using the online degree audit system and corresponding in a timely manner with students who are at risk of falling behind.
  • Maintain up-to-date/accurate student advising files to include required documentation from faculty/department heads regarding substitutions, any approved curriculum changes, updated audit sheets and comprehensive notes when appropriate.
  • Approve student schedule changes and complete transient forms when needed.
  • Obtain departmental approval for substitutions or waivers of required courses, change of major and other procedures requiring the department head’s approval. Explain anticipated graduation date with change of major.
  • Advise students before and during pre-registration and at orientation and registration.
  • Assist and participate in the pre-registration, registration, orientation, prospective student events and newly admitted student day.
  • Provide special support and guidance to students on academic probation and readmitted students.
  • Assist students with grade reviews, grade appeals and/or instructor disputes.
  • Review all new student files and evaluate for appropriate transfer credit.
  • Schedule all first year students for classes and assist first year students with learning how to use and read online degree audit.
  • Maintain security and confidentiality of student educational records as mandated by FERPA regulations.
  • Perform other duties as assigned.

Language Skills

KNOWLEDGE, SKILLS AND ABILITIES:

  • Excellent oral and written skills.
  • Ability to speak effectively before groups of students, parents and/or faculty.
  • Ability to proofread official College documents, reports, and publications.
  • Ability to read, understand, remember and apply College policy.

Computer Skills

  • Strong technology skills required, including a solid working knowledge of Microsoft Office, email/Internet software, and familiarity with student information systems such as Ellucian’s PowerCampus and Workday.

Other Skills And Abilities

  • Ability to build positive relationships with students, faculty and staff,
  • Ability to work as a team member and initiate projects independently.
  • Ability to organize and prioritize work and to multi-task.
  • Ability to write legibly, ability to present a professional appearance.
  • Ability to work regular established hours of operation and additional hours as necessary.

Education And Experience

EDUCATION AND EXPERIENCE: Minimum:

  • Bachelor’s degree.
  • One year of academic advising experience in higher education.
  • Alternative combinations of education beyond the bachelor’s degree and experience may be evaluated for comparability. Preferred:
  • Master’s Degree in Higher Education, Counseling, or a related field, and experience in a Student Service or Student Life environment.
  • Experience and/or interest in studio art.
