Position: Purchasing Coordinator
Reports to: SCM & Finance Manager
Duties and Responsibilities:
- Ensure the procurement process is properly followed. (i.e. Issue purchase orders, oversee receipts, PO matching)
- Perform monthly vendor account reconciliations to ensure accuracy by reviewing statements and unbilled purchase orders.
- Manage travel expenses and arrangements for operations team.
- Assist accounts payable with vendor invoice data entry.
- Assist SCM with the sourcing of supplies, materials, equipment, and services.
- Assist SCM with monthly assessment of company inventory and creating purchase orders to replace specific products and supplies.
- Assist SCM by identifying any issues with purchasing discrepancies (i.e. incorrect quantities, damaged goods, returns and logistical issues.
- Assist Finance Manager in vendor maintenance i.e., tax compliance, contract management, contact information.
Education:
- High School Diploma or GED Equivalent
Experience:
- Minimum of 3 years of experience in purchasing, accounts payable or similar roles.
- Understanding of cloud-based financial systems (e.g., NetSuite or similar)
Skill Requirements:
- Knowledge of purchasing/procurement cycle, process, and best practices.
- Proficiency in Microsoft Excel, including pivot tables and VLOOKUPs.
- Familiarity with requisitions, BOL’s, packing slips, and vendor invoices.
- Knowledge of inventory management.
- Strong organizational skills, attention to detail, excellent communication, and interpersonal skills.
- Ability to work independently and meet deadlines.
- Experience with cloud-based financial systems, preferably NetSuite or similar platforms, is preferred.
