We are seeking an Accounts Payable Specialist for a contract to hire position in our logistics and transportation company in San Rafael, CA. As an AP Specialist, you will play a crucial role in processing and managing accounts payable transactions. Your responsibilities will include reviewing invoices, reconciling accounts, and ensuring accurate and timely payments. The ideal candidate should have basic accounting knowledge and at least 2 years of experience in a similar role.
Responsibilities:
- Review invoices for accuracy, ensuring that all necessary information is included, and the amounts are correct.
- Match invoices with purchase orders and verify that the goods or services were received or performed.
- Code invoices with the appropriate expense accounts and obtain necessary approvals.
- Communicate with vendors to resolve billing discrepancies and answer payment-related inquiries.
- Process payments by preparing checks, initiating electronic transfers, or following company payment procedures.
- Reconcile vendor statements with our records and resolve any discrepancies or outstanding balances.
- Assist with month-end closing activities, such as preparing accruals and reconciling accounts payable balances.
- Maintain organized and up-to-date vendor files, including contact information and payment terms.
- Collaborate with internal departments, such as purchasing and receiving, to ensure smooth invoice processing.
- Adhere to company policies, accounting principles, and legal regulations.
Requirements
Qualifications:
- High school diploma or equivalent; some college coursework in accounting is a plus.
- Minimum of 2 years of experience as an accounts payable clerk or in a similar role.
- Basic understanding of accounting principles and procedures.
- Proficiency in using accounting software and MS Office applications, particularly Excel.
- Excellent attention to detail and strong organizational skills.
