We are offering a short term contract employment opportunity for an Administrative Assistant in Mission Hills, California. This role is primarily based onsite and involves assisting in various administrative projects as required within a dynamic team environment.
Responsibilities
- Handle administrative duties such as filing, typing, copying, binding, scanning, etc.
- Manage correspondence via mail or email, making note of urgent responses needed.
- Organize meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments.
- Maintain office supply inventory and place orders when necessary.
- Use Microsoft Excel to create spreadsheets and manage data effectively.
- Provide general support to visitors and assist with project coordination.
- Implement and maintain organized filing systems.
- Perform data entry tasks as necessary.
- Assist in the preparation of regularly scheduled reports.
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
- Must have a minimum of 2 years of experience in an administrative role
- Proficiency in Microsoft Excel is crucial
- Demonstrated ability in administrative assistance
- Excellent organizational skills and attention to detail are required
- Strong communication skills, both written and verbal, are essential
- Ability to multitask and prioritize tasks effectively
- High school diploma or equivalent is required; further education in Office Administration is a plus
- Experience with office management software like MS Office (MS Excel and MS Word, specifically)
- Strong problem-solving skills with a creative approach
- Ability to work independently and as part of a team.
