Description

We are in search of a diligent Administrative Assistant to join our team in the machinery manufacturing industry, located in Rock Hill, South Carolina. The role will involve overseeing the document control system, coordinating customer communications, and managing third-party contractor portals. You will also be tasked with assigning employee safety training, creating and editing documents, and working closely with various stakeholders to achieve objectives. This is a 2 month contract, hybrid 2 days remote and 3 days in office.

Responsibilities

  • Administrate the document control system in ACMS and SharePoint databases
  • Coordinate submission of customer communications for sales and service jobs
  • Request certificates of insurance and enter information as required
  • Administer third-party contractor portals with company information, safety programs, and insurance certificates
  • Assign required employee safety training in Learning Link and Pure Safety and record monthly attendance
  • Create and edit documents based on suggestions from customers, third parties or as directed by management
  • Establish and maintain communications with all people/employees necessary to get the job done
  • Answer inbound calls and respond to email correspondence, ensuring exceptional customer service
  • Perform data entry tasks and schedule appointments as needed
  • Work in quality assurance environments, ensuring all work adheres to set standards
  • Utilize Microsoft Office tools, including Word, Excel, Outlook, and PowerPoint, to perform tasks and communicate effectively.

Requirements

  • Proficiency in Microsoft Office Suite including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word
  • Experience in answering inbound and outbound calls, providing excellent customer service
  • Ability to perform data entry tasks with high accuracy and attention to detail
  • Familiarity with managing email correspondence and scheduling appointments
  • Knowledge of quality assurance in manufacturing environments
  • Understanding of environmental health and system safety in a machinery manufacturing context
  • Ability to handle administrative tasks efficiently and effectively
  • Strong verbal and written communication skills
  • Proactive problem-solving capabilities
  • Ability to adapt and learn new technologies or processes quickly
  • Demonstrated ability to work in a fast-paced environment
  • High level of organizational skills and ability to manage multiple tasks simultaneously
  • Commitment to maintaining professional and ethical work conduct.
