Responsibilities
- Vendor Management:
- Research, identify, and evaluate potential suppliers/vendors based on quality, price, reliability, and delivery speed.
- Establish and maintain positive relationships with suppliers/vendors to negotiate favorable terms, including pricing, discounts, and payment terms.
- Communicate effectively with vendors to resolve issues related to product availability, quality, or delivery delays.
- Purchase Order Processing:
- Generate purchase orders accurately and efficiently based on inventory levels, sales forecasts, and customer demand.
- Monitor open purchase orders and follow up with vendors to ensure timely shipment and delivery of products.
- Coordinate with internal departments, such as sales and warehouse teams, to ensure alignment on purchasing needs and inventory levels.
- Inventory Management:
- Maintain optimal inventory levels to meet customer demand while minimizing excess inventory and carrying costs.
- Monitor inventory levels and product availability, identifying and addressing potential stock shortages or overstock situations.
- Collaborate with the inventory control team to conduct regular audits and reconcile discrepancies in inventory records.
- Market Research and Analysis:
- Stay informed about industry trends, market conditions, and competitor activities related to product availability, pricing, and sourcing.
- Conduct market research and analysis to identify opportunities for cost savings, process improvements, and product innovation.
- Provide recommendations to management based on data analysis and market insights to optimize purchasing strategies.
- Documentation and Reporting:
- Maintain accurate records of purchasing activities, including purchase orders, contracts, invoices, and supplier/vendor information.
- Prepare regular reports on purchasing performance metrics, such as order accuracy, on-time delivery, and cost savings initiatives.
- Assist in the preparation of budgets, forecasts, and variance analyses related to procurement activities.
Qualifications:
- Bachelor's degree in business administration, supply chain management, or a related field preferred.
- Strong attention to detail and organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication and negotiation skills, both verbal and written.
- Proficiency in Microsoft Office suite, especially Excel, for data analysis and reporting.
- Ability to work independently and collaboratively in a team-oriented environment.
- Prior experience or internship in procurement, purchasing, or supply chain management is a plus but not required.
