We are seeking a highly organized and detail-oriented individual to join our team as Executive Assistant. As an Executive Assistant, you will provide comprehensive administrative support to our executives and play a critical role in ensuring the smooth operation of our organization. You will be responsible for managing schedules, coordinating meetings and events, handling correspondence, and assisting with various projects. The ideal candidate has excellent communication skills, exceptional multitasking abilities, and a strong commitment to maintaining confidentiality.
Principal Responsibilities:
· Provides daily administrative support to the Human Resource Director
· Maintains calendar for Human Resource Director
· Records meeting minutes in detail and provides action items.
· Organizes, compiles, updates company personnel documents and files accordingly.
· Schedules job interviews with hiring managers
· Maintains electronic filing system.
· Updates and creates PowerPoint decks.
· Enters background checks into appropriate database.
· Collects and organizes company’s assessments.
· Assists with new employee paperwork & onboarding.
· Assists with employee exit paperwork.
· Manages Human Resources analytics, metrics, and reporting such as turnover and headcount reports.
· Maintains vacation, sick time, and spreadsheets.
· Updates and maintains organizational charts.
· Assists in event coordination including catering orders, setting up meeting spaces, and other items as needed.
· Assist in coordinating events.
· Creates and disseminates corporate communications.
· Verify and track invoices.
· Provides general administrative support to the HR team.
Requirements
Requirements
· 2 years Human Resources Administrative experience required.
· Bachelor of Science, Bachelor of Arts or Bachelor of Business Administration.
· Proven experience as an executive assistant or in a similar administrative role.
· Excellent written and verbal communication skills.
· Strong organizational and time management abilities.
· Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other relevant software.
· Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
· Attention to detail and a high level of accuracy.
