What are the responsibilities and job description for the Facilities Assistant position at Robert Half?
Our client, a Santa Monica based company, is looking for a Facilities Assistant to join their team immediately. You will help provide assistance in managing the daily operations and maintenance of two floors in this building.
- Maintenance and Repairs: Conduct routine inspections to identify any maintenance or repair needs within the facility. Coordinate with external vendors or contractors to schedule and oversee repairs, including plumbing, electrical, HVAC, and general building maintenance.
- Office Supplies and Inventory: Monitor and replenish office supplies, ensuring that essential items such as stationery, equipment, and consumables are stocked and readily available. Keep track of inventory levels and place orders as needed.
- Safety and Security: Maintain a safe and secure working environment by monitoring access control systems, conducting regular safety inspections, and promptly addressing any potential hazards or security breaches. Ensure compliance with health and safety regulations.
- Space Management: Assist with space planning and allocation, including furniture arrangement, office moves, and reconfigurations. Coordinate with internal departments and external service providers to ensure smooth transitions and efficient use of space.
- Equipment and Facilities Management: Oversee the maintenance and operation of office equipment, including printers, copiers, audiovisual systems, and other technology. Coordinate repairs or replacements as necessary. Maintain and organize equipment inventory.
- Vendor Management: Liaise with external vendors and service providers, such as cleaning companies, maintenance contractors, and security firms. Obtain quotes, negotiate contracts, and monitor vendor performance to ensure quality service delivery.
- Event Support: Assist with setting up and dismantling furniture and equipment for meetings, conferences, and special events. Provide support during events, such as managing audiovisual equipment, coordinating catering, and addressing any facility-related issues.

Requirements
- Ideal candidate must have adept computer skills including word processing, spreadsheets and presentation software, as well as databases and customer database systems
- Ability to use the internet for research
- UPS Shipping experience required
- Office supply and equipment ordering experience
- Facilities Coordinator experience
- At least 1 year of Administrative Assistant experience preferred
- Excellent communication and organizational skills
