Our DC-area client is in search of an experienced Meetings Coordinator to join their team. As a Meetings Coordinator, you will play a pivotal role in supporting the planning, organizing, and executing meetings, conferences, and events for our organization. The ideal candidate will have a strong background in meeting registration, event logistics, member engagement, and database management. You will collaborate closely with various internal and external stakeholders to ensure successful and engaging meetings that meet the needs of our members and achieve organizational objectives.
Meeting Planning and Execution:
Collaborate with internal teams to define meeting objectives, themes, and content.
Develop and maintain a master calendar of meetings, conferences, and events.
Coordinate all aspects of meeting logistics, including venue selection, contract negotiations, catering, audiovisual setup, and transportation.
Manage meeting budgets and track expenses to ensure cost-effective planning.
Assist in developing meeting agendas and materials, and distribute them to participants in a timely manner.
Provide on-site support during meetings, including registration, attendee assistance, and troubleshooting.
Meeting Registration and Communications:
Oversee the registration process for meetings, ensuring a smooth and user-friendly experience for attendees.
Maintain accurate attendee records and handle registration inquiries.
Coordinate with marketing and communications teams to develop promotional materials and communications related to meetings and events.
Implement strategies to maximize member engagement and participation in meetings.
Member Engagement:
Collaborate with the membership team to identify opportunities to enhance member engagement during meetings.
Develop and implement strategies to promote networking, collaboration, and interaction among meeting attendees.
Collect feedback and evaluate member satisfaction with meetings, making recommendations for improvements.
Requirements
Requirements:
- Bachelor's degree in marketing, communications, event planning, or a related field (or equivalent work experience).
- Proven experience in meeting registration, event logistics, and execution with a nonprofit or association.
- Strong organizational skills with exceptional attention to detail.
- Experience managing membership data (Impexium, netForum, Salesforce, or a comparable platform is a must!)
- Excellent written and verbal communication skills.
- Ability to multitask and manage multiple projects simultaneously.
- Proficient in using event management software and other relevant tools.
- Strong interpersonal skills with the ability to build relationships with stakeholders and members.
Salary : $60,000 - $68,000
