We are in search of a Sr. Administrative Assistant to join our team in Boise, Idaho. This role offers a contract to hire employment opportunity and is pivotal in providing comprehensive administrative support within our department. The Sr. Administrative Assistant will handle complex issues, supervise records management operations, and facilitate communication within the team and external stakeholders.
Responsibilities
- Handle complex issues, problems, and provide solutions, only referring the most complex issues to higher-level staff.
- Lead coaching and mentoring to a subordinate group as needed.
- Oversee the department's records management operation, including facilitating the retrieval, filing, and storage of information.
- Ensure all classification of official records, documents, and other media procedures meet applicable legal requirements.
- Catalog, scan, index, develop, and review department documents, ensuring they are imaged and indexed correctly into the system.
- Provide comprehensive administrative support to the department including online research, scheduling meetings, calendar support, and coordination of supply requests and travel arrangements.
- Facilitate effective communication within the team and with external stakeholders through email, phone, and in-person interactions.
- Perform primary front desk support and backup.
- Enter and maintain data in computer systems and perform data analysis as required.
- Monitor customer accounts, take appropriate action, and provide document and process tracking and follow-up.
- Utilize ADP - Financial Services, Banner Ads, Cisco Webex Meetings, Concur, CRM, About Time, Budget Processes, Calendar Management, Communication, Conference Calls, Professional Demeanor, Customer Service, Creative Problem Solving, and Administrative procedures to perform tasks efficiently.
Requirements
- Proficiency in ADP - Financial Services
- Experience with Banner Ads creation and management
- Familiarity with Cisco Webex Meetings for virtual communications
- Ability to use Concur for travel and expense management
- Proficient in CRM systems for customer relationship management
- Knowledge of About Time project management software
- Understanding of Budget Processes and financial management
- Excellent Calendar Management skills
- Strong Communication skills, both written and verbal
- Experience in organizing and managing Conference Calls
- Maintaining a Professional Demeanor at all times
- Proven Customer Service skills
- Ability to employ Creative Problem Solving strategies
- Understanding of Administrative procedures and best practices
