Job Title: Affordable Housing Administrative Assistant
Reports To: Community Manager
Earnings Status: Non-Exempt
Summary:
The Administrative Assistant will assist with the day-to-day operational responsibilities of an affordable housing community while promoting company mission, values, and culture.
Essential Functions:
- Assists in communications with residents, including but not limited to, payment reminders, payment arrangements, and/or legal eviction procedures.
- Assists residents/prospective residents with questions.
- Answers phone calls, takes messages, schedules appointments, checks and responds to voice mails.
- Collects rent, processes billing statements, posts payments, and deposits receipts.
- Checks and manages the property dropbox.
- Processes move-out paperwork, security deposits and work orders.
- Creates application packets and enter applicants into system.
- Assists with Recertification Interviews.
- Files paperwork efficiently and accurately.
- Maintains an organized and professional workspace to effectively manage and process paperwork, and to ensure all residents and prospective residents feel welcome.
- Maintains a positive and professional customer service attitude at all times, including but not limited to being pleasant, respectful and responsive to residents, prospective residents, vendors, contractors and all staff.
- Orders and maintains administrative office supplies.
- Enforces and adheres to lease and rules and regulations, processes work orders and coordinates schedules with maintenance department.
- Follows all company rules, regulations, policies, and procedures as set forth in training sessions, manuals, memos and other means of communication.
- Attends scheduled meetings including site staff meetings, corporate management meetings, or other meetings as required.

- Must have complete knowledge of all phases of leasing and resident retention or be willing to learn processes and procedures.
- Must have excellent interpersonal, customer service, organizational, time management, conflict resolution, verbal and written communication skills.
- Must be able to communicate in English with residents, emergency providers and outside contractors.
- Required to sit for prolonged periods; exposed to visual display terminal for prolonged periods; dexterity and precision required to operate computer and office machinery.
- Must have computer proficiency in Microsoft Office and ability to navigate the Internet.
- Must be able to walk, move and transport up to 20 lb. loads, bend, stoop, climb stairs.
- Must have a valid driver’s license, state motor vehicle insurance and reliable transportation.

Supervisory Responsibilities:
- This position does not have any supervisory responsibilities.
Core Competencies/Qualifications:
- High School Diploma with Real Estate Education/Experience/Degree preferred.
- Minimum of 1-year experience in property management or administrative role preferred.
- Must have excellent interpersonal, customer service, organization, time management, conflict resolution, verbal and written communication skills.
- Extensive knowledge and experience with Microsoft Office and ability to navigate internet.
- Performs other duties as assigned and commits to promoting company mission, values and culture.
