SUPERVISOR: Chief Financial Officer or designee
QUALIFICATIONS/REQUIREMENTS:
- Highschool diploma or currently enrolled in school, individuals under the age of 18 must provide work permit.
- Ability to work in a fast-paced environment.
- Ability to work well independently.
- Great attention to detail
- Strong organizational skills.
- Great time management skills
- Incredible patience to file correctly.
- Proficient in English (oral and written).
- Excellent knowledge of Microsoft office, adobe acrobat.
- Ability to lift 30lbs without assistance.
SPECIFIC RESPONSIBILITIES:
- Work closely with management to update and maintain onsite site filing system.
- Sort or classify paper documents according to guidelines, such as significance, content, purpose, user criteria, chronological, alphabetical, dates, or numerical order.
- Store all paperwork in designated places securing the important documents
- Perform inspections of files to ensure correct placement, legibility, or proper condition of documents in file cabinet. Create correct labeling for items to be stored.
- Scan or read incoming materials to determine how and where they should be classified or filed.
- Keep records of files stored, or destroyed, using excel spreadsheet.
- Gather materials to be filed from departments and/or employees.
- Find, retrieve, and make copies of information from files in response to requests and deliver information to authorized users.
- Place documents into storage receptacles, such as file cabinets, boxes, bins, or drawers, according to classification and identification information.
- Work closely with management to identify outdated or unnecessary documents, destroying them or transferring them to inactive storage, according to file maintenance guidelines, destruction dates or legal requirements.
- Other duties as assigned by management.
