Job Overview:
We are seeking a highly organized and detail-oriented Office Secretary to join our team. The Office Secretary will be responsible for providing administrative support, managing office operations, and ensuring smooth day-to-day functioning of the office. This is a part-time morning position with opportunity to grow. We are looking to grow our Chiropractic business by adding more health care professionals which will require more hours in the future. Ideally the person who applies for this job is looking for part time work with the ability to grow with the practice. We rely on text messaging as a way to communicate with our client base so the ability to communicate quickly and clearly with patients is a must while at the office.
Duties:
- Perform general office duties such as answering phone calls, responding to emails, texts, and handling correspondence, posting payments and signing patients into the office for treatment
- Greet visitors in a friendly, caring and bubbly manner
- Maintain office supplies inventory and place orders when necessary
- Assist with event planning and coordination
- Manage calendars, schedule appointments, and coordinate meetings
- Prepare and proofread documents, reports
- File and organize documents, both electronic and physical
- Conduct data entry tasks accurately and efficiently
- Provide customer support by addressing inquiries and resolving issues in a timely manner
- Verifying Health Insurance
- Walking patient's through the intake paperwork as needed
- Performing light office tasks such as cleaning the waiting room / hallway / bathroom floor as needed
Qualifications:
- Proficient in gmail / google drive tasks
- Experience in a medical office is a plus
- Excellent proofreading skills with strong attention to detail
- Familiarity with file management systems and document organization
- Strong data entry skills with a high level of accuracy
- Exceptional customer service skills with professional phone and text etiquette
- Ability to multitask, prioritize tasks, and meet deadlines
- Strong organizational skills with the ability to maintain confidentiality
