Executive Administrative Assistant

We are currently seeking a full-time employee who is a positive, motivated, and enthusiastic individual to serve as an Executive Administrative Assistant in our corporate office. The Executive Administrative Assistant will work closely with senior leadership, all departments within the company, and have some interaction with outside stakeholders and clients.

We are looking for an Executive Administrative Assistant to assist senior leadership with the organization's daily operations. The Executive Administrative Assistant's role is to manage office operations, including but not limited to reconciling expense reporting, onboarding new employees, and working in tandem with the CEO on daily tasks and projects as assigned. The person for this role must be detail-oriented, have impeccable time management, and be proactive.

Responsibilities

  • Manage visitor traffic, phone inquiries, field customer support calls
  • Maintain office protocol
  • Manage office inventory and supplies
  • Reconcile expense statements
  • Create and present reporting to senior leadership and other departments
  • Manage some of senior leadership's correspondences with clients, internal and external stakeholders
  • Build communication and marketing content using MS Office
  • Assist with marketing and events
  • Onboard new employees, coordinate email and computer equipment for new hires
  • Schedule appointments and maintain calendars
  • Schedule and coordinate staff and other meetings
  • Prepare communications, such as memos, emails, invoices, reports, and other correspondence
  • Write and edit documents from letters to reports and instructional documents
  • Create and maintain filing systems, both electronic and physical
  • Manage accounts and perform bookkeeping

  • Demonstrable ability to handle all tasks assigned and adhere to deadlines
  • Demonstrable ability to take notes and compile comprehensive recaps for senior leadership
  • Ability to reconcile accounting statements
  • Ability to generate reports and presentations
  • Proficiency with contract management
  • Ability to coordinate and facilitate meetings, client lunches, dinners
  • Well-organized with a customer-oriented approach
  • Ability to articulate challenges and to anticipate and solve problems
  • Works with a sense of urgency in a fast-paced environment, with a strong ability to prioritize, organize, and execute incoming tasks/requests
  • Ability to meet/manage deadlines with consistent follow-through, open communication, and stellar results
  • Enjoys working in a partnership or on a team
  • Analytical skills and ability to synthesize information quickly
  • Must be coachable, quick, eager to learn, and solution-oriented
  • Must be available to work on-site (in the office) Monday through Friday, some nights/weekends for special events (This is not a remote position)

Qualifications

  • Bachelor's Degree preferred
  • At least one year of experience in the healthcare industry is preferred
  • At least five years of experience in Executive Administrative duties required
  • At least two years of experience in office operations/management required
  • Experience with inventory management preferred
  • Must be comfortable with and knowledgeable of technology
  • Strong knowledge of PowerPoint, Excel, and Microsoft Suite required
  • Bookkeeping/Accounting experience required
  • Valid AZ Drivers' License required
  • Strong verbal and written communication skills required

Job Type: Full-time

Pay: $50,000.00 per year

  • Tempe, AZ 85282: Reliably commute or planning to relocate before starting work (Required)

Education:

  • Bachelor's (Preferred)

Experience:

  • Microsoft Excel: 1 year (Preferred)
  • Microsoft Powerpoint: 1 year (Preferred)
  • Executive & Personal Assistants: 5 years (Required)
