Job Description

  • Provides Secretarial services for building Principal and Assistant Principal, including typing, filing, and recording meeting minutes.
  • Serve as a receptionist and maintain all office records.
  • Maintain all student records and files.
  • Must be able to read, write, speak, and translate Spanish
  • Responsible for all building correspondence, including daily bulletin, letters from the office, and building reports.
  • Maintain records and perform duties related to ordering, receiving, invoicing, and inventory.
  • Assist with minor health-related problems.
  • Maintain appropriate office decorum (bulletin boards).
  • Demonstrates grammatical accuracy.
  • Register new students and maintain records as student registrar, answering parent and student questions, and checking all paperwork & inputting information.
  • Assist with cash reconciliation tasks as needed.
  • Serve as attendance secretary, including managing truancy records and reports.
  • Counseling Office duties:
    • Provide secretarial services for the counseling office.
    • Input schedule changes, update transcripts, input partial credit, make corrections to student records in the computer system.
    • Maintain records such as current transcripts, test scores, permanent files and send files for students enrolling elsewhere.
    • Obtain records and files for transferring students from other districts.
    • Send transcripts and test scores for college applicants and for scholarships and assists in providing credit evaluation information to staff for advising students.
  • Other duties as assigned.
  • Must meet state requirements for COVID 19 vaccination or an exemption to the COVID 19 vaccination as a condition of employment by the first day of work

 

Minimum Qualifications

  • High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience.
  • Must be personable, dependable, trustworthy, have the ability to deal with people, have office equipment skills, deal with stress, good sense of humor, good time management, and have good initiative.
  • Must pass a skill review in math, English, Spanish, and computer management, of which some are practical and written.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively with patrons or employees of the organization.
  • Ability to add, subtract, multiply and divide into all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.

 

Terms of Employment

Starting Date:  2022-23 School Year

Salary:  Based on experience and education

Hours:   8.0 hrs/day – 7:45 am – 4:15 pm, 211 days per year
