The Contract Administrator is a valuable member of the Construction Management team and critical role for maintaining the Company’s reputation as a “ready-to-roll” Contractor. The position focus is the processing, analysis, and review of Contract Documents. Secondary aspects include commercial liability insurance processing, client interfacing, vendor compliance, and project information collection/dissemination.

General Duties and Responsibilities of the Contract Administrator

Contract Administration Duties:
- Ensure the needs of the Client are met while simultaneously upholding Company’s standard contract terms.
- Ensure the needs of the Client are met while simultaneously upholding Company’s standard practices.
- Translate fundamental construction contract terminology to real-world operations.
- Correspond with Clients regarding critical project information including, but not limited to: legal description, owner information, bonding information, project county, and invoicing instructions.
- Assist with the assembly of contractually-required schedules of value.
- Review, markup, and negotiate boiler plate language.
- Collaborate with other team members to ensure a complete turnkey scope in accordance with project bid.
- Update project information hubs (Viewpoint, PlanGrid, Server).
- Enroll in CCIP, OCIP, and other 3rd-party insurance programs.
- Procure and distribute Certificates of Insurance.
- Based on contract and project type, identify project details critical to Construction Management, Accounting, and Operations teams.
- Coordinate with Construction Management team regarding potential vendors and subcontractors.
- Provide Clients with general Company and project-specific information when requested.
- Input critical project information into Viewpoint, the Company’s accounting and management program.
- Coordinate Project and Pre-Construction Coordinators’ efforts to collect project information from Client.
- Prepare contracts for Company executive signature.
- Expedite collection of fully-executed agreements.
- Build and maintain positive relationships with Clients and Subcontractors.
- Preserve and promote Company’s commitment to a vibrant office atmosphere and teamwork focus.
- Manage workload and organization so as to maintain Company’s streamlined project management processes.
- Ensure that deadlines are met in accordance with Company standards.
- Maintain strictest confidentiality.
- Actively demonstrate teamwork at all times.
- Manage any stress on the job, including high volume and variable circumstances.
QUALIFICATIONS:
- Bachelor’s degree; Construction Management, or a legal field of study a plus
- Minimum of two years of experience with construction law principles
- Demonstrates excellent reading comprehension ability
- Demonstrates excellent communication skills, particularly technical writing and professional correspondence
- Demonstrates intermediate level skills using a personal computer and Company communication tools, such as email, internet, and Microsoft Office products (e.g., Word, Excel, Outlook).
- Experience with Bluebeam software or ability to learn.
- Experience with Viewpoint software or ability to learn.
- Fluently speak, read, and write English.
- Must be a team player.
- Demonstrates exemplary customer service skills with all levels of Company personnel and clients.
- Demonstrates high level of organization and attention to detail.
- Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
