The Rutgers University Foundation (RUF) seeks a skilled Events Specialist to join our Engagement Communications team, focusing on the technical design and implementation of event management systems. This role is ideal for someone with a strong understanding of event technologies and proficiency in HTML, CSS, and platform-specific tools to build custom event portals, registration systems, and seamless user experiences. The candidate will play a crucial role in ensuring our events are executed flawlessly and will gain exposure to Salesforce Commerce Cloud while managing events both online and in person.
Essential Functions
- Collaborate with partners to understand their event goals and technical requirements.
- Design and build custom event portals using HTML and CSS that cater to specific event requirements, including registration, ticketing, and attendee engagement.
- Develop user-friendly interfaces that ensure a seamless experience for event attendees, organizers, and stakeholders.
- Integrate event portals with CRM systems, payment gateways, and other third-party tools as necessary.
- Configure and manage event management systems (e.g., registration tools, event apps) to ensure all technical aspects align with event goals and specifications.
- Set up and manage event data, including attendee information, session details, and feedback mechanisms.
- Provide technical support during the planning, execution, and post-event phases to ensure smooth operation.
- Troubleshoot and resolve any technical issues related to the event portal, registration systems, or virtual event platforms.
- Monitor live events, ensuring all digital tools and platforms function as expected.
- Generate detailed reports on event metrics, including registration numbers, attendee engagement, and feedback.
- Analyze event data to provide insights and recommendations for future events.
- Maintain data integrity across all event platforms and ensure compliance with relevant data protection regulations.
- Work closely with event planners, marketing teams, and partners to understand event requirements and translate them into technical solutions.
- Provide training and support to event staff on using event management systems and tools.

Education/ Qualifications
- Bachelor's degree or one to three years of experience in event management, alumni engagement, advancement, non-profit or higher education.
- Proficiency in HTML and CSS for creating and customizing event portals and websites.
- Experience with event management platforms (e.g., Blackthorn, Cvent) is preferred but not required.
- Strong problem-solving skills with the ability to troubleshoot and resolve technical issues quickly.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple projects simultaneously and work effectively under tight deadlines.
- Familiarity with data analysis tools and practices.

Workplace Arrangements
This is classified as an office-centric position. Colleagues working under an office-centric arrangement have a primary workstation in a university or foundation location and are in office between one and five days a week.
Working Conditions
This position requires little physical effort. Will work evenings, weekends, or odd hours to meet resource-raising commitments. Typical working conditions with an absence of disagreeable elements. This position requires some early mornings and late evenings to accommodate meetings, travel, events, and external constituent’s schedules.
