Job Summary
The Executive Assistant independently provides critical support to a Consultant(s) in a team environment, including ongoing communication with Consultant(s) and other internal or external clients. The Executive Assistant will also independently support the administrative needs of the Boise office.
Duties and Responsibilities
- Manage high activity Consultant calendar(s) and provide reminders as needed
- Coordinate travel in adherence to company policy and monitor ongoing travel changes
- Edit and format memos, letters, and PowerPoint presentations
- Review and proof client documents after revisions
- Book catering or restaurant reservations as directed
- Track all client requests, emails, and deliverables to ensure response or completion
- Coordinate print job requests of client presentations
- Coordinate client or team meetings with internal staff, clients, and third parties
- Reconcile and process travel expenses
- Enter and maintain all client meeting due dates and contact information in our CRM
- Welcome visitors by greeting them, in-person or over the phone
- Answer and direct all incoming phone calls and voicemail transfers; take messages as appropriate
- Prepare conference room for client meetings
- Act as liaison to building management
- Maintain relationships with various vendors for office supplies, water, coffee, mail, and staffing
- Keep snacks, office supplies, and shared office spaces organized
- Ship and receive packages and mail
- Work with Information System (IS) to troubleshoot problems, and coordinate with the IS department regarding all system upgrades and changes
- Set up computers for new employees, if needed, as directed by IS
- Collect and send all new employee documents to the HR Manager at company headquarters
- Complete I-9 form for all new hires
- Communicate with CFO to ensure the Boise office operates consistent with company policy and culture
- Complete any additional ad hoc tasks as needed.
Minimum Qualifications
- Bachelor’s Degree, or 3 – 5 years of experience of applicable work experience may be substituted for a degree
- Two years or more of experience supporting a deadline driven team in a professional office environment
- Ability to work standard business hours Monday through Friday

- Knowledge of the financial services industry helpful, but not required
