Summary of Job Functions:
The Specialty Buyer serves as a buyer with a focus on capital and PO related agreements. They ensure purchasing policies are satisfied in the execution of purchase orders.
Specialty Buyer is responsible for obtaining quotes, sourcing, negotiating, cost savings and avoidance, policy compliance, procuring, interfacing with vendors, end-users and Contracting/Legal.
Independently balance workload and adhere to timelines, deadlines with a high degree of accuracy. Provide team coverage along with handling special projects and other duties as assigned.
Qualification/Education/Training/Certificates/Licensure:
High School Diploma or GED required. Associates degree preferred. Two years purchasing experience. Strongly prefer experience within hospitals with PeopleSoft a plus. Demonstrate proficiency in Microsoft Office applications. Able to perform basic mathematical calculations, balance and reconcile figures, possess good communication (written and verbal) skills.
Work Environment & Hazards:
Work is performed in a fast paced and challenging office environment. Work may be stressful at times. Contact may involve dealing with angry or upset people. Staff must remain flexible and available to provide staffing assistance for any/all disaster or emergency situations.
Special Physical Demands:
Requires prolonged sitting and computer use; requires hand-eye coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate reports.
Job Specific Requirements:
- Reviews, prepares and processes all purchase order/ returns / recalls in accordance to the departmental policies and procedures.
- Compliant to all contracting and legal requirements as provide by Contracting or Legal.
- Balances workload with minimum interactions with Manager while adhering to timelines and deadlines.
- Informs management and end-users of delays or complications within the process.
- Provides team coverage and handles special projects as needed.
- Works closing with Contracting and end-users to ensure all documentation has proper legal or HIPPA review and paperwork.
- Utilize other tools to compete the process such as Strata Jazz and/or MD Buyline.
- Process and maintain workload within departmental performance standards.
- Produces reports, updates, emails and other communication in a clear and effective manner.
- Establish and maintain rapport through effective communication and timely follow-up with customers, coworkers, management, and outside agencies/vendors.
- Perform other duties as assigned
