Company Position Title: Account Coordinator

General Position Summary
The Account Coordinator works closely with production personnel and members of the sales team to maintain
revenue retention and customer loyalty. Duties include receiving purchase orders and processing orders for
shipment; informing customers of receipts of their orders, prices, shipping dates, and delays; preparing sales
orders; and handling complaints. This position requires diligence, attention to details and the ability to work
quickly.
Essential Job Functions
PRIMARY JOB RESPONSIBILITIES
§ Receive orders, review, and process customers’ purchase orders and enter orders into a computer system
§ Check prices, give written/verbal quotations, and verify delivery schedules
§ Communicate with customers in person, through email or chat, over the phone, or on social media
§ Inform customers by e-mail or telephone of order information, such as unit prices, shipping dates, and any anticipated delays
§ Review orders for completeness according to reporting procedures and forward incomplete orders for further processing
§ Maintain and adjust inventory records to reflect product movement
§ Confer and coordinate with internal departments to ascertain shipping dates, back-order status, and other customer concerns
§ Prepare & provide PO to the appropriate party including suppliers
§ Prepare sales orders and shipping documents to coordinate for shipment
§ Understand customers’ internal business processes and be able to access information from EDI, Portal, WOI, etc.
§ Maintain the database of the assigned customers in the customers’ master file
§ Monitor assigned customers’ amount of sales volume by reviewing appropriate reports
§ Generate invoices and related documents, and file and retain those documents
§ Assist and coordinate the collection of past dues, and report monthly past dues to other departments and divisions
§ Monitor customer satisfaction levels
§ Work with a sales team to create better methods to address customer complaints
§ Prepare pending reports and shipping reports
§ Other duties may be assigned

Qualifications
Education & Work Experience
· Associate’s Degree from an accredited two-year educational institution preferred
· Two years of related experience and/or training; or an equivalent combination of education and experience
· Patience, empathy, and professionalism
· Problem-solving and decision-making capabilities
· Basic computer skills, including data entry, website navigation, and other software
· Effective time management, prioritization, and multitasking skills
· Ability to work in a team setting
· In-depth understanding of the company’s products or services
· Excellent phone and e-mail etiquette, and people skills
