OVERVIEW

S&B is currently seeking a talented and dynamic information Management Specialist to join our team in Houston, TX at our Memorial Office. As a information Management Specialist, you will perform many project administrative and documentation functions including: transmittal preparation and issue, monitoring data flow, ensuring work processes are in place and adhered to. Must be able to become familiar with Information Management’s work processes and procedures. Works under immediate supervision performing defined tasks.

EDUCATION

 

High School Diploma or Equivalent

 

QUALIFICATIONS AND EXPERIENCE

 

  • Degree or 1-3 years of experience in document control / information management. Exceptional office skills, proficient in Microsoft Office suite applications.
  • General administrative and office skills, working knowledge of Microsoft Office suite applications, and general computer knowledge.
  • Ability to think logically and objectively.
  • Ability to communicate effectively both orally and in writing.
  • Ability to work well with others.
  • Ability to read and interpret instructions relating to applications and work processes.
  • Ability to prioritize responsibilities and multi-task efficiently.
  • Good organizational skills.
  • Skilled in reading comprehension and critical thinking.
  • Good attention to detail.
  • Adapts to change well.
  • Must be dependable, a team player, cooperative, and have high personal and professional integrity.

 

TYPICAL DUTIES AND RESPONSIBILITIES

 

  • Answering and directing telephone calls.
  • Maintaining electronic project files.
  • Generating and editing project related correspondence.
  • Scheduling project meetings and conference rooms.
  • Ordering lunches for project meetings and celebrations.
  • Generating, editing, and distributing monthly project review reports.
  • Coordinating travel arrangements (vehicles assigned to project, flights, etc.).
  • Maintaining Client and Project Team Roster.
  • Coordinating and scheduling of safety tests.
  • Managing and distributing project documentation, engineering deliverables, and vendor data in electronic and hard copy format.
  • Entering basic data into computer programs.
  • Responsible for data integrity.
  • Utilization of web-based and other electronic programs to organize and populate database.
  • Responding to emails and performing various tasks based on work requests.
  • Overtime may occasionally be required.
  • Making copies, delivering, and obtaining signatures.

 

LANGUAGE SKILLS

 

Ability to read and interpret documents such as procedure manuals. Ability to speak effectively and communicate clearly to clients or other employees of the organization. Ability to receive verbal instructions and execute as needed.  Job success often hinges upon interpersonal communication and relationship development skills, and job tasks require frequent interchange and successful completion depends in large part upon effective interaction and communication with others.

 

MATHEMATICAL SKILLS

 

Ability to work with simple mathematical concepts such as addition, subtraction, multiplication, and division.

 

PHYSICAL DEMANDS

 

Occasionally may conduct or participate in a field trip to an operating plant or construction site.  This requires normal hearing, the ability to stand, walk, reach, climb and balance, clear close and distance vision, depth perception and the ability to focus.  Lifting up to 25 pounds may be required.

 

WORK ENVIRONMENT

 

Normal work environment will be a business office with moderate noise.  Occasionally may visit an operating plant or construction site.  This may require exposure to outdoor weather conditions, loud noise, working near moving mechanical parts, electrical energy, construction equipment, vibration, fumes, chemicals, and airborne particles.
