Job Snapshot:
The Administrative Assistant handles general office tasks and administrative duties associated with the successful running of a location office. This role is the face of the organization to external guests and employees upon entry to an office location. The Administrative Assistant will support location staff in clerical, organizational functions of multi-complexity.
The Project Administrator assists in the preparation, reporting and analysis of projects under the direction of the Project Manager. This role provides administrative support to projects in connection to the planning and allocating of resources for effective project execution. Attention to detail, organization, and effective communication are key for this role. This person should have a positive attitude and be able to work with others to achieve a common goal. This person should also be able to display an unwavering pledge to the success of reaching our goals and objectives.
- Organize office functions to promote team building
- Manage, track and order office supplies
- Review, distribute and electronically file project correspondence, such as meeting minutes, schedules, email documentation, etc
- Assist Project Manager in development of proposals, change orders, reports, presentations, executive summaries, and project status reporting
- Assist with contract review, implementation of contract terms and routing contracts to appropriate signatories for execution
- Obtain and maintain certificates of insurance per the project contracts
- Ensure project labor and expense effort is input on a weekly basis or as needed by contract
- Collect time and expense data and prepare weekly payroll reports
- Facilitate records management for field staff certifications and help to coordinate field QA documentation with QA Manager and laboratory personnel
- Assist in the coordination of subcontractors for outside calibrations
- Administration of client-required programs related to security or safety when our personnel arrive on client properties
- Assist with the management of our truck fleet (record keeping, tracking, etc.)
- Compile project related data to be submitted to Finance for invoicing purposes
- Perform other duties or responsibilities, as directed by managers, or requested by others to promote efficiency
Required Qualifications:
- High School Diploma or GED
- 5 years of experience in relevant field
- Advanced workable knowledge of contract terms, including hourly, lump sum, not-to-exceed and how they are applied and administered in the billing process
- Ability to work well under deadline situations and respond to changes in priorities
- Intermediate to advanced computer literacy, including word processing, spreadsheets/excel and accounting software
- Knowledge of the project structure in a client/consultant business environment
Preferred Qualifications:
- Associate degree in business or accounting
- Notary Public Certification
- Knowledge of BST or other accounting platforms
