ABOUT THE ROLE:
We are looking to employ an HR coordinator with outstanding written, verbal and interpersonal communication skills. An HR coordinator is expected to be a conceptual thinker with fantastic organizational and time management skills. You will have excellent administrative and IT skills with the ability to multitask and adapt in a fast-paced environment.
To ensure success, the HR Coordinator should display strong problem-solving and decision-making skills with a deep understanding of employee relationships, staffing management benefits administration, timekeeping and payroll, and have experience in COVID-19 workplace management. Top candidates will be fantastic at managing conflict and effective at communicating with staff.
WHAT YOU’LL DO:
- Works closely with the Senior Director of HR and the HR Team to ensure the success of the HR Department.
- Assist with all internal and external HR related inquiries or requests.
- Support the team in administering health and benefits plans, including enrollments, changes, and termination.
- Assist with recruitment; perform reference checks; support the onboarding process.
- Together with the HR Staffing Specialist, conduct onboarding and orientation for all new hires; conduct benefits and timecard presentations and trainings.
- Liaise with Paylocity; attend weekly meetings with Paylocity to resolve issues and implement new processes.
- Assist with staff evaluations by ensuring performance reviews are in Paylocity, developing timelines for performance reviews, and ensuring compliance with the process.
- Support Senior Director of HR in educating employees on and enforcing company policies.
- Respond to internal and external HR related inquiries and request; triage staff HR needs
- Manage HR Drive folder, ensuring forms and documents are up to date
- Ensure that all new hires have completed COVID testing and provide
- Update position changes and reassignments
- Assist ad-hoc HR projects, such as collecting employee feedback and analyzing results
- Understand and be able to speak to SPY’s benefits package, liaise with benefits providers
- Participate in recruitment efforts for all exempt and nonexempt employees
- Assists with new-employee background checks
- Conduct new hire orientation and complete, compile, and maintain all necessary new hire paperwork
- Maintain accurate employee records as needed
- Maintain I9s, EEO information and other filing systems as mandated by law
- Support Executive Leadership with scheduling and preparing for meetings, etc.
- Manage director, HR, and organization calendars, and support with planning, scheduling and implementing SPY and partner events and trainings
- Support Executive Leadership with submitting expenses, invoices, purchase orders, and mileage reimbursements
- Support with onboarding new employees, exiting employees, etc.
- Assist with general maintenance and upkeep of facilities
- Participate in staff meetings, team meetings, and other community meetings as needed
- Other duties as assigned
Requirements
SKILLS YOU'LL NEED:
- Associate's degree or equivalent in a related field or 2 years of experience in HR and administrative coordination
- Excellent knowledge of Excel (required), Docs, Forms, and also PowerPoint
- Strong ability to use Microsoft Office Suite and Google Suite
- Knowledge of HR processes and best practices
- Experience with HR databases and HRIS systems and ATS A; knowledge of Paylocity preferred
- Ability to handle data with confidentiality
- A high quality of character that is honest, trustworthy and reliable
- Ability to establish and maintain cooperative and effective working relationships with others
- Strong analytical, writing and organization skills
- Strong initiative and leadership skills
- Being communicative and having a self-starter attitude
WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:
- Prolonged periods of sitting at a desk and working on a computer
- Changes in the environment, such as the office or outdoors
- Physical effort/lifting, such as sedentary- up to 15-20 pounds at times
SPECIAL CONDITIONS:
Mandated Reporting Requirements: The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 Revised July 21, 2017 as a condition of employment.
COVID-19 Vaccination Requirements: In an effort to stem the significant increase in COVID-19 positive tests as a result of the Delta variant, the State Health Officer has issued an order, which went into effect on August 9, 2021, requiring paid and unpaid workers of homeless services organizations to provide proof of vaccination and/or booster (if eligible for the booster shot) or participate in weekly COVID-19 testing if still not fully vaccinated. Failure to provide proof of vaccination will require the candidate to produce a negative test result within 72 hours of their first day of employment and commit to weekly testing. Driver Positions:

- Suspended or revoked license
- Three or more moving violations in the past 36 months
- Any violations, including drugs, alcohol, or controlled substances, within the past 24 months

- At fault accidents, resulting in a fatality or serious injury, within the past 5 years
